Fleet Data Entry Specialist

Southern Transport is seeking a detail-oriented Fleet Data Entry Specialist to maintain accurate truck, trailer, and equipment records across our business systems.

This is a hands-on data entry position focused on entering, updating, reviewing, and correcting information. The ideal candidate is comfortable working with large amounts of data, learning new software, and performing detailed, repetitive work without sacrificing accuracy.

Experience with CRM, ERP, or other record management systems is preferred. Transportation, fleet maintenance, or DOT compliance experience is helpful but not required.

What You’ll Do

• Enter, update, and maintain truck, trailer, equipment, inspection, and maintenance information
• Process data from work orders, inspection reports, service records, and other supporting documents
• Review records for accuracy, completeness, and consistency before entering or updating information
• Identify missing information, duplicate records, and discrepancies, and work with appropriate personnel to resolve them
• Reconcile information between spreadsheets, source documents, and company systems
• Maintain organized electronic records and ensure supporting documentation is properly attached and accessible
• Track incomplete records and follow up to obtain missing information
• Perform routine data quality checks and correct errors as needed
• Support reporting, record retrieval, and documentation requests from operations and management
• Follow established data entry procedures while identifying opportunities to improve accuracy and efficiency

What You Need to Succeed

Required:

• Experience in an administrative, records management, or similar role involving substantial hands-on data entry
• Strong attention to detail and demonstrated ability to identify and correct errors
• Ability to enter and process information efficiently while maintaining accuracy
• Comfortable working in databases, spreadsheets, and other business software
• Working knowledge of Microsoft Excel
• Ability to organize and manage large volumes of information
• Comfortable performing repetitive, detail-oriented tasks throughout the workday
• Strong organizational, problem-solving, and follow-up skills
• Ability to work independently and meet deadlines

Preferred:

• Experience entering and maintaining records in CRM, ERP, or similar database systems
• Experience with Quickbase, SAP, or comparable business applications
• Experience with equipment records, maintenance work orders, inspections, or fleet administration
• Familiarity with DOT inspection documentation or transportation compliance records
• Experience reconciling data between multiple systems or source documents
