Purpose of the Job

This role oversees workshop operations to ensure efficient productivity, profitability, and quality service delivery. It includes managing and developing staff, maintaining compliance with OEM (Original Equipment Manufacturer) and safety standards. Ensuring excellent customer service through effective communication and resolution of issues. The position also monitors performance, resources, and processes to drive continuous improvement and operational excellence.

Key Responsibilities:

Workshop Operations and Productivity Monitoring

• Monitor labour sales, workshop profitability, and productivity at all times.
• Ensure effective workshop planning, including optimal utilisation of staff and resources.
• Maintain and analyse productivity reports, including technician efficiency and time tracking.
• Ensure all vehicles are tested and meet required standards upon completion of work.
• Drive the “first time right” principle to improve efficiency and reduce rework.
• Continuously identify and implement improvements to the quality of technical work performed.

Customer Service and Satisfaction

• Conduct customer needs analysis to ensure services meet expectations.
• Monitor and improve Customer Satisfaction Index (CSI) ratings and implement action plans where required.
• Ensure all customer complaints are recorded, investigated, and resolved timeously.
• Maintain consistent customer engagement through face-to-face interaction and other communication channels.
• Implement and manage effective customer follow-up and retention systems.
• Protect customer property at all times and ensure a high standard of service delivery.

Staff Supervision and Development

• Implement a staff resource plan in line with workshop operational requirements.
• Monitor, motivate, and support team members to achieve performance targets.
• Identify staff training and development needs in consultation with management.
• Conduct regular staff meetings and performance feedback sessions.
• Ensure accurate and efficient loading of workshop hours.
• Promote effective communication within the team and across departments.

Technical Support and Quality Assurance

• Provide technical support and on-the-job training to staff.
• Ensure adherence to OEM standards, including warranty policies and procedures.
• Maintain up-to-date technical knowledge and ensure access to accurate technical information.
• Ensure the workshop is equipped with appropriate tools and that they are maintained in good working condition.
• Monitor and enforce quality standards to minimise errors and recurring issues.
• Assist technicians after hours with technical issues on an Adhoc basis.

Compliance, Health and Safety

• Ensure full compliance with the Occupational Health and Safety Act at all times.
• Maintain a safe and clean working environment through daily housekeeping practices.
• Ensure all staff adhere to company policies, including dress code and PPE requirements.
• Promote a culture of safety awareness and compliance within the workshop.

Administration and Continuous Improvement

• Maintain accurate records, including technician performance data and workshop information.
• Update workshop manuals and ensure processes remain aligned to current standards.
• Monitor and improve internal processes to enhance efficiency and service delivery.
• Stay informed on industry developments and ensure required training is completed.
• Uphold professional conduct and support broader operational requirements as needed.

Minimum Requirements:

• 5+ years relevant experience in a commercial workshop with 3 out of the 5 years in a Foreman role.
• Relevant trade certificate
