Freight Forwarding Admin / Operations Coordinator

Phoenix Supply Chain Pty Ltd is seeking a responsible, organised and trustworthy Freight Forwarding Admin / Operations Coordinator to support our growing Australian operations.

This role is ideal for someone who is detail-oriented, reliable and comfortable coordinating with customers, suppliers, transport companies, customs brokers and our operations team in China.

The successful candidate will support day-to-day shipment coordination, sales administration, data management and communication between our Australian and China teams.

Key Responsibilities

• Provide day-to-day administrative and operational support to the Australian team
• Follow up shipments and monitor shipment progress
• Coordinate with our China operations team regarding suppliers, cargo collection, documentation and shipment status
• Communicate with Australian trucking companies, customs brokers, warehouses and other logistics service providers
• Assist with booking transport and coordinating local deliveries
• Maintain and update shipment records, customer information and operational data
• Organise and maintain sales data, customer lists, quotations and sales reports
• Assist the sales team with quotation records, customer follow-up information and CRM updates
• Prepare and check shipping documents and other operational paperwork
• Follow up outstanding information from customers, suppliers and service providers
• Respond to emails and telephone enquiries promptly and professionally
• Identify issues early and follow them through until resolved
• Assist with general office administration as required

Requirements

• Full Australian driver licence and confidence driving in Melbourne
• Good spoken and written English
• Mandarin Chinese is strongly preferred, as the role involves regular communication and coordination with our China-based operations team
• Good computer skills, including Microsoft Excel, Word and Outlook
• Strong data-entry and record-management skills
• Previous experience in administration, logistics, freight forwarding, import/export, customer service or operations will be highly regarded
• Experience working with trucking companies, customs brokers or freight forwarders would be an advantage
• Australian working rights

Pay: $52,880.00 – $65,110.85 per year
