Role Overview
The Freight Support Specialist serves as the operational backbone of our dispatch team, ensuring every freight load is accurately documented, tracked, and executed from booking through final delivery. Acting as a critical link between drivers, dispatchers, brokers, shippers, and receivers, this role maintains 100% data integrity within our transportation management system (Nexus) to prevent service failures, optimize workflows, and streamline billing processes.
Core Responsibilities
- Load Verification & Dispatch Setup: Review and verify rate confirmations prior to dispatch. Ensure all rates, appointment times, locations, required equipment, reference numbers, accessorial charges, and special handling instructions are completely accurate.
- Workflow & Data Management: Execute operational tasks following established workflows in Nexus. Maintain real-time updates for load statuses, milestones, load notes, and operational decisions.
- Proactive Communication: Serve as a primary point of contact for brokers, drivers, dispatchers, shippers, and receivers. Confirm appointments, relay pickup/delivery instructions, communicate schedule adjustments, and deliver proactive status updates.
- Independent Verification ("Trust, but Verify"): Independently validate all information provided by third parties, drivers, or brokers before updating system records or issuing operational changes.
- Exception & Load Tracking: Actively monitor ongoing loads to resolve check calls, detention requests, delays, and operational exceptions. Promptly escalate critical service risks to dispatchers.
- Document Control & Compliance: Review, organize, upload, and validate essential load documents—including Rate Confirmations, Bills of Lading (BOLs), Proofs of Delivery (PODs), lumper receipts, and invoices—ensuring correct attachment and status tagging in Nexus.
- Pre-Billing Support: Validate completed documentation packages to ensure loads are fully cleared for customer invoicing, driver settlements, and carrier billing.
- Process Improvement: Maintain operational integrity standards while identifying recurring documentation errors, workflow bottlenecks, and opportunities for process refinement.
Qualifications & Skills
Experience:
- 1–3 years of experience in freight operations, logistics coordination, or freight support roles.
- Prior BPO Customer Service Representative (CSR) experience is a major plus (especially accounts handling US/North American logistics, back-office support, or voice/non-voice customer care).
Technical Proficiency: Experience using Transportation Management Systems (TMS) such as Nexus (or similar freight platforms). Strong command of Microsoft Office / Google Workspace suite.
Documentation Knowledge: Thorough understanding of freight documentation, including BOLs, PODs, Rate Confirmations, accessorial charges, and lumper fees.
Communication: Excellent verbal and written communication skills with a professional telephone and email manner.
Core Competencies:
- Extreme attention to detail and zero-tolerance for data discrepancies.
- Strong critical thinking skills with a "trust, but verify" approach to operational details.
- Ability to multitask, prioritize, and manage high-volume daily workflows in a fast-paced environment.
- Proactive problem-solving and risk anticipation capabilities.
Work Environment & Expectations
- Shift/Hours: Standard operational hours (may require flexibility based on load tracking needs).
- Collaboration: High-frequency interaction with internal dispatch teams, carrier partners, customer service, and external brokers.
