What they need
The Front Desk & Regulatory Support Assistant keeps the front of the house running smoothly at Remington-Davis. As the first point of contact for study participants, visitors, sponsors, and monitors, this person sets the tone for every visit. Behind the desk, they support our regulatory team by keeping study documents organized, current, and ready for review. It’s a role for someone who is equal parts warm and detail-oriented, and a great way in for anyone curious about the regulatory side of clinical research.
What You’ll Do
At the Front Desk
· Greet and direct study participants, pharma representatives, and other visitors
· Answer and route incoming calls
· Coordinate monitor/CRA visits and help prepare for them
· Receive packages and deliveries, notify staff, and route study-specific shipments to the right study team
· Schedule meetings and appointments, prepare reports, and manage correspondence
· Prepare study recruitment materials and keep office forms and contact lists up to date
· Keep the office and shared spaces organized, and run occasional errands like picking up physician lunches or dry ice
Regulatory Support
· Maintain study staff training files (CVs, licenses, liability insurance, and certifications) and track expiration dates so renewals don’t slip through the cracks
· File and organize regulatory documents, such as IRB correspondence, protocol amendments, and signed forms, in study binders and electronic systems
· Help keep delegation logs, training logs, and other study logs up to date under the direction of the regulatory team
· Scan, upload, and check documents for completeness, including signatures and dates
· Pull documents and help set up for monitor visits and audits
· Break down regulatory binders and patient folders at study close-out and prepare them for storage
· Track past studies and prepare records for approved destruction, including destruction certificates
What We’re Looking For
· An associate’s degree or equivalent work experience
· A warm, patient presence that puts people at ease
· A sharp eye for detail and a commitment to getting things right the first time
· Discretion with confidential patient, employee, and research information
· Comfort with Microsoft Office, especially Word and Excel
· A valid driver’s license and reliable transportation for occasional errands
· Genuine interest in learning how clinical research is regulated
· Experience in a clinical research, medical office, or healthcare setting is a plus
· Familiarity with HIPAA, GCP, or IRB processes is a plus
