Veterinary Front Desk Coordinator / CSR

Do you love animals, enjoy helping people, and take pride in being part of a great team?

Southwest Pet Hospital is seeking a dedicated Veterinary Front Desk Coordinator / Customer Service Representative (CSR) to join our close-knit team.

We are a single-doctor, privately owned, female-owned small-animal veterinary hospital that has proudly served our community for more than 45 years. We are committed to providing high-quality, individualized patient care and an exceptional client experience.

If you are friendly, professional, organized, compassionate, dependable, and enjoy working in a fast-paced environment where every day is different, we'd love to meet you!

About Southwest Pet Hospital

For more than four decades, our practice has been built on personalized veterinary medicine and long-term relationships with our clients and their pets.

We believe every patient deserves to be treated with compassion, respect, and attention to detail. We emphasize client education, communication, and continuity of care, helping pet owners make informed decisions about their pets' health.

Because we are a small practice, every team member matters. We value teamwork, professionalism, communication, personal accountability, and a positive workplace culture. Our front desk team plays an essential role in creating a welcoming experience for clients and keeping communication flowing smoothly between clients and our veterinary service team.

About the Position

The Front Desk Coordinator / CSR is often the first and last impression a client has of our hospital. We are looking for someone who genuinely enjoys helping people and their pets and who can provide exceptional service while staying organized in a busy clinical environment.

This position is ideal for someone who is eager to learn, dependable, detail-oriented, and committed to excellent patient care and client service.

The ideal candidate is a true team player with a calm, professional demeanor who communicates well and can confidently manage multiple priorities.

Veterinary or medical front-desk experience is strongly preferred, but we are willing to train the right person who is motivated, dependable, and a quick learner.

What You'll Do

  • Welcome clients and their pets and create a warm, positive first impression
  • Efficiently process client check-ins and check-outs
  • Answer incoming multi-line phone calls professionally and courteously
  • Listen to and respond to voicemails in a timely manner
  • Respond to client emails and other communications
  • Provide thoughtful, professional, and solution-oriented customer service
  • Process cashier and point-of-sale transactions accurately
  • Communicate effectively with coworkers, incoming and departing staff, and hospital leadership
  • Serve as a liaison between clients and the veterinary service team
  • Coordinate appointment status and client/patient arrivals
  • Maintain a clean, organized, and welcoming reception area, lobby, and restrooms
  • Keep your work area clean, organized, and professional
  • Cross-train in other areas of the hospital to develop a well-rounded understanding of the practice
  • Support your teammates and contribute to a positive workplace environment

What We're Looking For

The ideal candidate will have:

  • A strong interest in animal health and veterinary medicine
  • A genuine interest in client communication and customer service
  • A calm, compassionate, and professional demeanor with patients and clients
  • Excellent communication and interpersonal skills
  • Strong teamwork skills and a willingness to support coworkers
  • The ability to work efficiently and remain composed in a fast-paced clinical setting
  • A willingness to learn, accept direction, and grow in the role
  • Dependability and strong attention to detail
  • Strong organizational and multitasking skills
  • The ability to maintain a clean, tidy, and professional work area
  • Comfort learning computer systems, multi-line phones, and new procedures
  • A positive attitude and willingness to contribute to a supportive team environment
  • Bilingual Spanish/English skills are strongly preferred and considered a major plus

Experience

Veterinary reception, veterinary technician, medical office, dental office, or other customer-service experience is a plus, with veterinary experience strongly preferred.

That said, we are willing to train the right person. If you are dependable, personable, hardworking, eager to learn, and genuinely interested in veterinary medicine, we encourage you to apply.

Schedule & Employment

  • Full-time or part-time position available, depending on experience and availability
  • Salary commensurate with experience, skills, and abilities
  • Shifts may include early mornings beginning at 7:00 AM, days, early evenings, Saturdays, weekends, and some holidays
  • Schedule flexibility and reliability are important
  • Cross-training across hospital roles is required to ensure each team member develops a well-rounded understanding of the practice

What We Offer

  • A supportive, respectful, and team-oriented work environment
  • Hands-on learning in a general small-animal veterinary practice
  • Meaningful client relationships and continuity of care
  • Competitive compensation based on experience, skills, and abilities
  • Opportunities for professional growth and skill development
  • The opportunity to learn about veterinary medicine in a close-knit practice
  • Mentoring opportunities for deserving pre-veterinary students seeking hands-on veterinary experience
  • For qualified pre-veterinary students, the potential for a letter of recommendation based on performance and demonstrated commitment

Candidates must be able to:
