Front Desk Coordinator – Part-Time

Apex Sport & Spine Physical Therapy is seeking a friendly, organized, and dependable Front Desk Coordinator for our outpatient physical therapy clinic in Louisville, Kentucky. This is an onsite, part-time position offering approximately 10–30 hours per week, depending on clinic needs. Compensation is $15–$19 per hour.

Responsibilities

• Welcome patients and manage check-in and check-out.
• Schedule, confirm, reschedule, and cancel appointments.
• Answer phone calls and respond professionally to patient questions.
• Collect and accurately enter patient demographic and insurance information.
• Maintain organized patient records and protect confidential information.
• Collect and document patient payments when applicable.
• Communicate scheduling, paperwork, and patient-service needs to clinical staff.
• Help patients complete required forms and resolve routine administrative questions.
• Keep the reception and waiting areas clean, organized, and welcoming.
• Follow clinic procedures and HIPAA privacy requirements.

• Strong communication, customer-service, and organizational skills.
• Professional and compassionate approach to working with patients.
• Careful attention to detail and accuracy.
• Ability to manage multiple priorities in a busy clinic environment.
• Basic comfort using computers, email, telephone systems, and scheduling software.
• Ability to maintain patient confidentiality.
• Dependable attendance and availability for an onsite schedule.
• Front-desk, healthcare, or customer-service experience is preferred but not required.
