Front Desk Patient Care Coordinator (Front & Back Office Cross-Training)
Health Atlas MD / Hill Country Allergy & Asthma | Marble Falls, TX
Pay: From $18.00/hour | Full-Time (36–40 hrs/week)
No weekends. No on-call shifts.

About Us

At Health Atlas MD and Hill Country Allergy & Asthma, we offer compassionate, integrative care that combines traditional medical expertise with advanced health and wellness therapies. We are a collaborative, growth-minded, education-focused team with four locations: Marble Falls, Lakeway, Dripping Springs, and Leander. We believe in continuous learning, and we look for team members who share a genuine passion for health, wellness, and patient-centered care.

Position Overview

We are looking for a reliable, warm, detail-oriented Front Desk Patient Care Coordinator for our Marble Falls office, with occasional rotation to our other clinics as needed. This is more than a check-in role. You’ll be the first person our patients meet, and you’ll be cross-trained in both front and back office so you’re comfortable in every part of the practice. New hires complete training at our Lakeway location.

Front Office Responsibilities

  • Warmly greet patients, check them in, and update personal and insurance information
  • Answer busy multi-line phones, route messages to clinical staff, and schedule new and follow-up appointments across all four locations
  • Verify insurance benefits, copays, deductibles, and out-of-pocket status before scheduled appointments, and contact patients when their information needs updating
  • Obtain prior authorizations and referrals, and follow payer guidelines
  • Calculate patient financial responsibility and collect copays, deductibles, co-insurance, and outstanding balances at check-in
  • Manage patient flow in the waiting room and communicate wait times clearly and kindly
  • Coordinate with our billing department on complex insurance questions
  • Use our EMR, eClinicalWorks (eCW), for scheduling, intake, record updates, and secure communication

Back Office Cross-Training

You’ll be trained to:

  • Room patients, take vitals, and review medical history and current medications
  • Give injections, including allergy immunotherapy
  • Assist providers with exams, procedures, and in-office wellness therapies
  • Educate patients on their treatment options and explain our wellness services and modalities
  • Follow OSHA guidelines, including universal precautions and sharps disposal

What We’re Looking For

  • 1+ years of medical front desk experience preferred; insurance verification, prior authorization, or Medical Assistant experience is a strong plus
  • A compassionate, patient-first attitude and a calm, professional demeanor, even on busy days
  • Familiarity with basic medical and billing terminology (copays, deductibles, co-insurance)
  • Comfort with EMR and practice management software; eClinicalWorks (eCW) experience is a plus
  • Strong attention to detail, problem-solving skills, and the ability to multitask in a fast-paced environment
  • A team player who takes feedback well and is committed to patient confidentiality and HIPAA
  • Interest in functional and integrative health and wellness, and a desire to keep learning
  • Flexibility to work at 1–2 clinic locations per week, with start times between 7:00 AM and 10:00 AM depending on schedule needs
  • Valid driver’s license, car insurance, and reliable transportation
  • High school diploma or equivalent

Physical Requirements

  • Ability to lift up to 30 lbs
  • Extended periods of sitting, standing, and walking
  • Manual dexterity for computer, phone, and office equipment

Benefits

  • Health, dental, vision, and life insurance
  • 401(k) with company match
  • Paid time off (PTO) and paid holidays for full-time employees
  • Generous employee discount on clinical-grade supplements, peptides, IVs, IM shots, and wellness therapies

Waiting period may apply.
