About Quality Connections Living Services

At Quality Connections Living Services, our purpose is to empower individuals with developmental disabilities to build independence, exercise choice, and participate in their communities. Our office team helps families, staff, and service partners connect with the right people and information.

We’re looking for an experienced Front Desk Receptionist / Administrative Assistant who brings positive energy, confidence, and professionalism to daily interactions. You enjoy working with people, make others feel welcome, and take pride in keeping an office organized and ready to serve.

The right person notices what needs attention, takes initiative, and follows through without repeated reminders. You can think on your feet, handle competing requests, and find practical solutions while knowing when to ask for guidance.

What you’ll do

  • Welcome families, visitors, staff, and service partners; notify the appropriate staff member and follow office access and sign-in procedures.
  • Answer phones, check voicemail and general office email, take accurate messages, and route inquiries promptly. Recognize urgent needs and communicate them without delay.
  • Receive and distribute mail and packages, prepare outgoing mail, and maintain office contact information.
  • Copy, print, scan, file, and securely shred documents; keep office forms available and coordinate assigned print requests.
  • Update assigned calendars, contact lists, records, and tracking sheets. Arrange meetings, prepare materials, and record minutes when assigned.
  • Enter and upload referrals and documents into approved systems, including QSP when trained, and route them to the appropriate intake or program staff.
  • Check your work for accuracy, follow up on assigned requests, and promptly report missing information or delays.
  • Replenish office and restroom supplies, keep shared areas orderly, and report cleaning, repair, or equipment needs.
  • Arrange approved deliveries and service appointments; complete authorized local pickups, follow spending limits, and retain receipts.
  • Prepare workspaces, forms, and materials for new employees, meetings, and orientation.
  • Protect confidential information, maintain professional boundaries, and promptly report safety or privacy concerns.
  • Coordinate employee incentives, work anniversary recognition, and birthday recognition. Maintain the recognition calendar, prepare cards and materials, arrange approved gifts or celebrations, and follow through on time while staying within approved budgets and guidelines.

This position reports to the Director and has no staff supervision, performance monitoring, or case assignment responsibilities.

What you’ll bring

  • Three to five years of office administration, reception, clerical, or customer service experience demonstrating professional communication, sound judgment, accuracy, and dependable follow-through.
  • A welcoming, upbeat approach and a confident, professional phone presence.
  • Initiative and ownership of your work, including completing recurring responsibilities without repeated reminders.
  • The ability to stay courteous and organized when calls, visitors, and administrative requests happen at the same time.
  • Resourcefulness when plans change, with the judgment to resolve routine issues and refer decisions outside your authority.
  • Proficiency with Google Workspace, calendars, electronic records, phones, and standard office equipment, along with a willingness to learn new systems.
  • Strong attention to detail, clear written and verbal communication, and discretion with sensitive information.
  • Reliable, timely attendance for scheduled on-site work, with protected leave and approved accommodations respected.

Experience in social services, healthcare, or another setting involving confidential records is preferred. A related associate’s or bachelor’s degree is also preferred. Spanish fluency is preferred; additional language skills are welcome.
