The front desk plays an essential role in our practice and is often the first and last interaction a patient has with our team. We are looking for someone who understands the importance of creating a welcoming, organized, and professional experience while keeping up with the demands of a busy medical office.

The ideal candidate is friendly, detail-oriented, reliable, and comfortable multitasking in a fast-paced environment. You should be able to communicate professionally with patients, work effectively as part of a team, and remain organized and composed during busy clinic days.

Previous medical office or dermatology experience is preferred, but we are willing to train the right candidate who demonstrates a strong work ethic, professionalism, and willingness to learn.

Responsibilities

As a Medical Front Desk Receptionist, you will:

  • Welcome and check in patients in a friendly, professional, and efficient manner.
  • Manage patient check-in and check-out, including verifying demographic information, collecting required forms, scheduling follow-up appointments, and collecting patient payments.
  • Verify insurance information and ensure patient records are accurate and up to date.
  • Answer incoming phone calls professionally and assist patients or route calls to the appropriate team member.
  • Schedule and manage patient appointments according to practice guidelines.
  • Maintain accurate patient information and documentation within Epic EMR.
  • Communicate clearly and compassionately with patients regarding appointments, paperwork, payments, and general office questions.
  • Assist with incoming and outgoing faxes, medical records, referrals, and other front-office administrative responsibilities.
  • Work closely with clinical and administrative staff to maintain efficient patient flow throughout the day.
  • Maintain a clean, organized, and professional front desk and waiting area.
  • Protect patient confidentiality and follow HIPAA requirements at all times.
  • Assist other team members and departments when needed to support the overall success of the practice.

What We’re Looking For

We are looking for someone who is:

  • Patient-focused: You understand that every interaction contributes to a patient's overall experience with our practice.
  • Dependable and punctual: Reliable attendance and arriving prepared to begin the day on time are essential.
  • Professional: You communicate clearly and respectfully with patients, coworkers, providers, and outside organizations.
  • Detail-oriented: Accuracy is especially important when handling patient information, insurance, scheduling, and payments.
  • Organized: You can manage multiple responsibilities while maintaining attention to detail.
  • Comfortable in a fast-paced environment: You can prioritize tasks and remain calm and professional during busy clinic hours.
  • Team-oriented: You are willing to help where needed and understand that providing excellent patient care requires collaboration.
  • Eager to learn: You are interested in learning different aspects of medical front-office operations and developing your skills over time.
  • Adaptable: You are comfortable with changing priorities and helping the practice improve its processes as we continue to grow.

Qualifications

  • Previous medical office, medical receptionist, or front desk experience preferred.
  • Dermatology experience is a plus.
  • Experience with Epic EMR is preferred but not required.
  • Strong customer service and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Comfortable using computers, electronic medical records, phones, and standard office equipment.
