Job Summary
The ideal candidate will be the first point of contact for our clients, providing exceptional customer service in a professional environment. This role involves managing front desk operations, handling patient inquiries, and ensuring the smooth flow of office activities within a medical setting.

Responsibilities

• Schedule and reschedule patient appointments in line with physician-approved treatment plans.
• Ensure timely rescheduling for canceled or missed appointments (goal: reschedule 50% within a week).
• Maintain accurate records in our Electronic Medical Records (EMR) system.
• Greet and assist patients and visitors in a friendly and professional manner.
• Manage appointment scheduling and maintain an organized calendar.
• Handle incoming calls using phone systems, demonstrating excellent phone etiquette.
• Process patient information accurately, ensuring compliance with HIPAA regulations.
• Perform medical billing tasks as needed.
• Print and prepare weekly schedules and updates.
• Communicate effectively with patients, therapists, and administrative staff.
• Follow company policies while maintaining a professional and welcoming demeanor.

Qualifications:

• High school diploma or equivalent.
• Previous experience in a dental or medical office setting is preferred.
• Proficiency in office management software; familiarity with Google Workspace is a plus.
• Strong understanding of HIPAA regulations and a commitment to patient confidentiality.
• Excellent communication skills, with a focus on phone etiquette.
• Ability to multitask and prioritize effectively in a fast-paced environment.
• Detail-oriented with strong organizational skills to manage various administrative tasks efficiently.
• Proficiency in using software such as Raintree or similar medical billing systems is a plus.
