Fulfillment and CS Coordinator

About the role

Filcon Ventures Inc is seeking a Fulfillment and Customer Service Coordinator to join our warehousing and distribution operations team. This is a full-time position based in Makati City, Metro Manila. In this pivotal role, you will serve as the bridge between our warehouse operations and our customers, ensuring seamless order fulfilment and exceptional customer service delivery. You will be responsible for coordinating daily warehouse activities whilst maintaining the highest standards of customer communication and satisfaction. This position is essential to our commitment to delivering reliable and efficient logistics solutions to our clients.

What you'll be doing

• Coordinate and oversee order processing, picking, packing and shipping operations to ensure accurate and timely delivery of customer orders
• Monitor inventory levels and communicate with the warehouse team to maintain optimal stock availability and prevent shortages
• Respond promptly to customer inquiries, complaints and concerns via email, phone and other communication channels, providing professional and courteous support
• Prepare and maintain detailed documentation related to orders, shipments, returns and customer interactions for record-keeping and analysis
• Collaborate with internal teams including warehouse staff, logistics coordinators and management to resolve operational issues and improve processes
• Track shipments and provide customers with regular updates on order status, delivery timelines and any potential delays
• Handle returns and refunds by processing returned items, verifying their condition and coordinating replacement or reimbursement procedures
• Identify process improvements and operational bottlenecks, recommending solutions to enhance efficiency and reduce costs
• Maintain accurate records of warehouse metrics, customer service interactions and performance indicators for reporting purposes

What we're looking for

• Proven experience in a warehouse, fulfillment centre or logistics environment, ideally in a coordinator or supervisory capacity
• Demonstrated customer service experience with strong communication and interpersonal skills
• Proficiency in using warehouse management systems (WMS) and Microsoft Office applications, particularly Excel
• Strong organisational skills with the ability to manage multiple tasks and priorities simultaneously in a fast-paced environment
• Attention to detail and accuracy in order processing and data entry to minimise errors
• Problem-solving mindset with the ability to identify issues and implement effective solutions
• Ability to work collaboratively with diverse teams and adapt to changing operational demands
• Knowledge of logistics operations, shipping methods and carrier selection would be beneficial
• Flexibility to work extended hours during peak seasons if required
