Fulfillment Assistant

Role Description

We are looking for an organized and detail-oriented Fulfillment Assistant to support daily order fulfillment operations and ensure customer orders are processed accurately and delivered on time. The role assists with order processing, inventory coordination, warehouse activities, shipment preparation, and delivery tracking to maintain smooth fulfillment workflows.

Key responsibilities include reviewing customer orders, verifying product details, quantities, availability, shipping information, and special requirements. The Fulfillment Assistant will coordinate with warehouse, inventory, logistics, purchasing, customer service, and other teams to ensure orders are picked, packed, labeled, and dispatched according to established procedures and schedules.

The role will monitor order and shipment status, follow up on pending or delayed deliveries, and assist with resolving order discrepancies, inventory shortages, returns, cancellations, and other fulfillment-related issues. Responsibilities may also include preparing packing lists, shipping labels, delivery documents, and system updates while maintaining accurate order and fulfillment records.

The Fulfillment Assistant will support inventory accuracy by assisting with stock checks, reporting discrepancies, and coordinating stock movements with relevant teams. The role will also contribute to process improvements by identifying recurring fulfillment issues and supporting efficient workflows and service standards.

Strong attention to detail, organization, communication, and coordination skills are essential. The ideal candidate should be proactive, reliable, customer-focused, and able to manage multiple orders and priorities while maintaining accuracy, efficiency, and timely execution.

Qualifications

• Bachelor’s degree or equivalent qualification in Logistics, Supply Chain Management, Operations, Business Administration, or a related discipline.
• Basic understanding of order fulfillment, inventory management, warehousing, logistics, and delivery processes.
• Strong attention to detail with a focus on order accuracy, inventory accuracy, and data quality.
• Good organizational and time-management skills with the ability to manage multiple orders and priorities.
• Strong written and verbal communication skills for coordinating with internal teams and logistics partners.
• Proficiency in Microsoft Office or Google Workspace, particularly Excel or spreadsheet applications.
• Familiarity with ERP, WMS, OMS, inventory, e-commerce, or logistics systems is an advantage.
• Ability to review orders, shipping documents, product information, and inventory records accurately.
• Good analytical and problem-solving skills with the ability to identify and follow up on discrepancies.
• Ability to maintain accurate fulfillment records and provide timely order and shipment updates.
• Customer-focused mindset with a commitment to accurate, timely, and reliable order fulfillment.
