Fund Operations Manager (m/f/d)

Responsibilities

Operational Leadership

• Oversee the day-to-day activities of an operational team and ensure timely completion of assigned tasks
• Monitor workload allocation, priorities and resource planning across the team

End-to-End Coordination

• Oversee operational activities throughout the lifecycle of assigned investment structures, from onboarding through to liquidation
• Ensure processes are executed in accordance with relevant documentation, regulatory requirements and internal policies

Stakeholder & Partner Management

• Monitor the quality, responsiveness and performance of external partners and service providers
• Review key deliverables and ensure timely resolution of outstanding matters
• Coordinate with internal and external stakeholders to resolve operational issues

Financial & Control Activities

• Coordinate and oversee annual audit activities and ensure all stakeholders meet agreed timelines
• Review the completeness of financial information, supporting documentation and relevant deliverables
• Oversee review processes relating to valuations, calculations and operational fees

Governance & Compliance

• Coordinate activities relating to governance, meetings, corporate documentation and statutory filings
• Ensure regulatory and contractual obligations are fulfilled accurately and within required deadlines

Continuous Improvement

• Regularly assess existing processes and identify opportunities for optimisation
• Drive standardisation, efficiency improvements and automation initiatives
• Establish and maintain appropriate operational controls and monitoring frameworks
• Conduct regular operational reviews with senior stakeholders to discuss challenges, risks and improvement opportunities
• Support the implementation and tracking of agreed process enhancements

Profile

• Minimum 7 years of relevant professional experience in fund operations, fund administration, alternative investment management or a comparable environment
• Strong understanding of Luxembourg investment structures and the related operational environment
• In-depth knowledge of operational processes, administration, governance, accounting oversight and regulatory requirements
• Proven experience in team coordination, operational oversight and stakeholder management
• Experience managing and overseeing external service providers
• Excellent organisational and communication skills with the ability to manage multiple priorities simultaneously
• Strong attention to detail and commitment to high-quality output
• Experience with process optimisation, operational controls and automation is advantageous
• Fluency in English; German is considered a strong advantage
