GALLERY COORDINATOR (FEMALE)

A contemporary fine art gallery and cultural space in Dubai seeks a polished, organised and proactive Gallery Coordinator.

Responsibilities:

• Run the front desk and welcome visitors, collectors, artists and guests

• Lead gallery tours and share exhibition and artwork information

• Answer calls and enquiries and route them to the team

• Provide daily admin support, maintain the art database, CRM and mailing lists, and prepare gallery correspondence and documents

• Support sales admin: invoices, presentations, paperwork

• Assist with exhibitions, art fairs, openings, private viewings, artist talks and events

• Support gallery events

• Handle guest registration and VIP hospitality

• Liaise with suppliers: quotes, scheduling, follow-ups

• Manage Founder's appointments

• Keep digital and physical files, archives and image libraries organised

• Keep reception and gallery spaces presentable

• Offer hospitality, including refreshments

• Track supplies, maintenance and daily needs

• Support ad hoc admin and operations

Requirements:

• 2+ years in a similar role

• Background in a gallery, museum, auction house, luxury retail, hospitality or cultural institution preferred

• Strong organisation and attention to detail

• CRM experience is a plus

• Adobe Acrobat, InDesign or Creative Suite is a plus

• Available evenings and weekends
