General Services Associate

1. Facility Maintenance & Operational Support

• Facility & Asset Maintenance: Coordinate routine inspection, repair, and preventive maintenance schedules for facility assets; physical viewing/inspection, basic utility systems, and building infrastructure.
• Vendor & Service Level Management: Supervise third-party service providers (janitorial, security, pest control, waste management) to ensure strict adherence to contracted Service Level Agreements (SLAs).
• Cross-Functional Workflow Optimization: Support frontline operational teams by eliminating facility-related bottlenecks, ensuring clean, safe, and fully equipped work environments.

2. CCTV System & Surveillance

• Active Monitoring: Conduct real-time monitoring of CCTV operations report and provide immediate actions to resolve findings and irregularities through actively reporting with technical team (information technology department, CCTV contractors and 3rd party service providers etc.).
• Footage Retrieval & Archiving: Extract, review, and back up video footage and system logs required for incident reports, internal audits, or external law enforcement request align with the existing policies and procedure related to CCTV footage/playback etc.
• Preventive Maintenance: Ensure proper maintenance schedules and coordinate with IT teams and external vendors for major equipment repairs, upgrades, network expansions.

3. Vehicle Maintenance & Safety Compliance

• Coordinate and monitor routine Preventive Maintenance Services (PMS), emission testing, and emergency repairs with authorized dealerships or service partners.
• Conduct regular physical inspections of company vehicles to identify and report mechanical issues, body damages, or safety hazards.
• Ensure all vehicles remain in safe, clean, and roadworthy conditions before and after deployment.
• Coordinate immediate roadside assistance, towing services, and accident response when emergencies occur.
• Documentation & Regulatory Administration – oversee and facilitate annual vehicle registration renewals, emission compliance, and ownership transfers with the Land Transportation Office (LTO) or relevant transport authorities.
• Manage insurance coverage policies (compulsory and comprehensive), ensuring timely renewals and processing insurance claims in the event of an accident.
• Maintain complete, organized, and accurate digital and physical profiles for each vehicle, including maintenance histories, logbooks, mileage tracking, and asset disposal records.
• Fleet Operations & Asset Utilization – Coordinate driver dispatching, scheduling, and optimal daily routing to meet the transportation requests of various internal departments.
• Manage fleet resources such as fuel cards and RFID/toll electronic tags, verifying allocations and auditing expenses to prevent misuse.
• Analyze vehicle utilization metrics to identify over- or under-utilized assets and recommend vehicle rotation or retirement strategies.
