Position Summary
The GET Program Coordinator is responsible for the day-to-day execution of Svarn Groups Graduate

experience as it scales from a 15-trainee to a 25-trainee cohort.
Role focus: The Coordinator connects engineering operations with Human Resources by coordinating
technical rotations, training, mentorship, onboarding, attendance, engagement, and people
administration.
Reporting and accountability: The role reports functionally to the GET Program Head and administratively
to the Head of HR, serving as the single point of accountability for program coordination, compliance, and
day-to-day issue resolution.
Core Responsibilities
1. Program & Workflow Coordination:
- Own the GET cohort calendar, acting as the day-to-day liaison between the Program Head, plant engineering leads, and HR on rotation schedules, milestones, and mentor assignments.
- Track milestones against the program roadmap, flagging slippage in rotations, certifications, or assessments to the Program Head before they become escalations.
- Coordinate trainee placement and rotation logistics across Palwal, Ghiloth, and Ahmedabad so plant heads know who is arriving, when, and for what module.
- Manage the interface (mentors, buddies, shop-floor supervisors) between the trainees and technical teams during each rotation.
2. HR Coordinator Functional Skillset:
This is the HR backbone of the role of the set of functional HR skills that justify the dotted line to the Head
of HR and that distinguish this position from a purely technical program-management role.
- Onboarding coordination end-to-end: offer-to-joining formalities, documentation, induction scheduling, and buddy/mentor assignment for each new batch.
- daily attendance, leave, and shift/rotation records for the full cohort; reconcile with plant HR systems and flag anomalies.
- Compensation administration support stipend disbursement inputs, increments on confirmation, and any allowance claims (travel, hostel/PG, laptop) in coordination with the HR and Finance teams.
- Coordinate mid-rotation and end-of-program evaluations, consolidate mentor feedback, and maintain each trainee's performance file for the confirmation/placement decision.
- Run trainee engagement touchpoints buddy programs, feedback pulses, grievance first-response, and welfare/hostel logistics so trainees have a consistent HR point of contact throughout the
program.
- Coordinate PF/ESI enrolment, ID cards, safety inductions, and other statutory and site-access formalities in line with company policy.
- Manage program completion formalities (confirmation, extension, or exit), including documentation, exit interviews where applicable, and handover to the respective department's HR file.
3. Technical Documentation & MIS Reporting:
- Maintain and organize engineering logs, SOPs relevant to trainee rotations, and change-request files touched by the cohort.
- Compile weekly and monthly MIS reports combining program KPIs (attendance, rotation completion, assessment scores) with HR metrics (attrition, engagement scores, cost-per-hire) for the Program Head and HR Head.
- Prepare technical meeting minutes, mentor feedback notes, and itemized task checklists for internal stakeholders and the CGO/Program Sponsor.
- Audit program files for compliance with company policy, relevant engineering/UL cable standards exposure, and safety regulations.
4. Vendor, Training-Partner & Inter-Departmental Liaison.
- Coordinate with external training partners (soft skills, advanced communication, entry-level leadership, and MIS training) scheduling, attendance, and payment follow-up.
- Interface with vendors and IT to follow up on laptop procurement, learning-platform access, and other program-linked equipment or software orders.
- Organize cross-functional program-review meetings, mapping agendas and circulating pre-reads to plant heads, mentors, and HR.
- Handle first-level program-related grievances or issues from trainees or plant supervisors, gathering facts and escalating to the Program Head or HR Head as appropriate.
