What they need

Location: Rotterdam, the Netherlands (on-site )

Type: Traineeship as an intern position — full-time or 32 hours per week

Start date: As soon as possible

Eligibility: You must already hold a valid right to work in the Netherlands. We are not able to sponsor visas or arrange work permits for this position.

About us

We are a wellbeing R&D company based in Rotterdam. Our work combines biosensing technology, AI and evidence-based formulation science to help people better understand and manage stress, fatigue and recovery. Our research and product development is supported by a portfolio of Dutch and European Union grants, and grant funding is central to how we grow.

The role

We are looking for a Grant Coordinator (Traineeship as an intern) to help us run our grant portfolio properly — from application through to reporting and audit. This is a learning position: you will work directly under the guidance of our management team, who will train you on grant rules, financial administration and compliance. You are not expected to arrive as an expert. You are expected to be precise, curious and reliable.

You will also be encouraged to use AI tools in your daily work — for document drafting, eligibility checks, data extraction and reporting — under our supervision and within our internal quality and confidentiality standards.

What you will do

  • Maintain the grant financial administration: budget tracking, cost allocation, timesheets and expense records per project
  • Handle daily company financial operations, including bookkeeping in the accounting system, processing and archiving supplier invoices, preparing monthly VAT returns, reconciling bank accounts, and ensuring compliance with Dutch tax and accounting regulations (e.g., record-keeping obligations, VAT deadlines)
  • Prepare and check documentation for grant reporting, cost claims and audits
  • Learn and apply the eligibility and compliance rules of Dutch and EU funding schemes (e.g. Horizon Europe, Eurostars, regional and national instruments)
  • Support the preparation and submission of new grant applications: gathering annexes, checking call requirements, formatting and version control, deadline tracking
  • Keep an organised, audit-ready document archive
  • Liaise with internal colleagues, consortium partners, accountants and funding bodies where needed
  • Apply AI tools to speed up routine grant work, with human verification as standard
  • Other related tasks assigned within the scope of the role

What we are looking for

  • A completed or nearly completed degree (HBO/WO) in finance, accounting, business administration, economics, European studies, life sciences or a comparable field
  • Genuine interest in grant funding, public financing rules and compliance
  • Strong attention to detail — this role is about getting numbers and documents exactly right
  • Comfortable with Excel and with learning new digital and AI tools
  • Excellent written English; Dutch is a strong advantage
  • Structured, self-organised and able to work to deadlines
  • A valid right to work in the Netherlands (no visa sponsorship available)

What we offer

  • A structured traineeship with direct mentoring from the founding team
  • Real responsibility on live EU and Dutch grant files, not shadow work
  • Practical training in grant financial management, audit readiness and applied AI tools
  • Insight into how a deep-tech wellbeing company is built and funded
  • Traineeship as an intern allowance in line with market standards
  • A small, international team in Rotterdam

Click Apply on LinkedIn and submit your CV. Please state clearly in your application that you already hold a valid right to work in the Netherlands — applications requiring visa sponsorship cannot be considered.
