Graphic Production & Project Coordinator

We are seeking a detail-oriented and organized Print & Graphics Project Coordinator to join our team.

We specialize in the production and installation of window graphics, signage, and in-store branding for stores throughout the country. This position combines project coordination with graphic and print production knowledge. The ideal candidate understands the basics of graphic design and print production and is comfortable working with artwork, renderings, specifications, and production requirements while managing multiple projects from start to finish.

You will be responsible for coordinating projects beginning with the initial phase of contacting stores, reviewing project details, obtaining approval of graphic choices, coordinating graphic renderings and art files, and arranging outside vendors for surveys and installations. You will manage multiple projects at once and ensure they are completed accurately, on time, and within budget.

Duties

• Contact clients and stores via phone and/or email to review order details and receive approval of graphics prior to production.
• Review graphic requirements and ensure renderings and/or art files are completed accurately and according to client requests and brand guidelines.
• Work with our graphics and production teams to ensure artwork is properly prepared for production.
• Coordinate surveys, installations, and outside vendors as needed, and ensure all project phases stay on track and within budget.
• Communicate with clients, team members, production staff, and vendors to provide project updates and resolve issues.
• Monitor multiple projects simultaneously and follow up to ensure deadlines are met.
• Review project details, specifications, dimensions, and artwork to help ensure orders are produced accurately.
• Maintain organized project documentation, including Purchase Orders, customer notes, approvals, and project updates.
• Participate in weekly virtual meetings with clients to discuss current projects and review status updates.

Skills & Qualifications

• Previous experience with graphic design, print production, or a graphic/printing company.
• Working knowledge of Adobe Creative Suite, particularly Adobe Illustrator and Photoshop.
• Understanding of basic graphic design and print production concepts, including artwork setup, dimensions, materials, and production requirements.
• Strong organizational and time management skills with the ability to manage multiple projects at once.
• Ability to multitask, prioritize, and work efficiently in a fast-paced production environment.
• Excellent communication and interpersonal skills. You will communicate with customers, vendors, and team members by phone and email.
• Strong attention to detail and the ability to catch potential artwork or production issues before they become problems.
• Proficiency in Microsoft Outlook and Teams.
• Ability to work independently while also communicating and collaborating closely with the production team.
• Previous project coordination experience is preferred.

Please note: This is an on-site position. Since we are a production company, this role requires you to be on-site to coordinate projects and oversee the accurate production and completion of orders.
