What they need

GROUND TRANSPORT COORDINATOR

Perth Festival | Full Time, Fixed Term | Perth, WA

Perth Festival is your summer invitation to otherworldly experiences. We're a not-for-profit multi-arts festival that brings world-class performance, music, film, visual arts and literary events to Perth, Western Australia, every summer. As Australia's longest-running arts festival, we've spent more than 70 years celebrating Perth, its people and its culture on the shores of the Derbarl Yerrigan (Swan River).

We're looking for an organised and proactive Ground Transport Coordinator to keep our Festival moving! From airport arrivals to venue transfers, you'll help ensure our artists, touring companies, guests and Festival teams get where they need to be, safely, efficiently and on time.

About the role

This is a hands-on coordination role within our Production team, responsible for planning and managing ground transport arrangements across Perth Festival.

You'll work closely with internal teams, transport providers and Festival stakeholders to coordinate schedules, manage logistics and respond to the ever-changing demands of a busy Festival season.

What you'll be doing

Transport coordination will be your main focus. You'll:

  • Plan and coordinate transport schedules for artists, touring companies, VIP guests and Festival personnel.
  • Organise airport pickups, accommodation transfers, venue transfers and other transport requirements.
  • Coordinate drivers, vehicles, transport suppliers and contractors to ensure smooth operations.
  • Monitor transport movements, manage last-minute changes and resolve logistical challenges.
  • Work closely with Production, Programming, Artist Services and other Festival teams to align transport arrangements with schedules and itineraries.
  • Ensure transport services are delivered safely, efficiently and in line with Festival requirements.

Alongside this, you'll support the wider Festival operations by:

  • Coordinating transport for equipment, production materials and operational resources as required.
  • Maintaining accurate transport schedules, manifests, itineraries and records.
  • Monitoring transport expenditure and assisting with invoices, purchase orders and supplier documentation.
  • Building positive relationships with transport providers, venues and other stakeholders.
  • Supporting transport safety, risk management and compliance requirements.
  • Identifying opportunities to improve transport processes and Festival logistics.

What you'll bring

  • Experience in transport coordination, logistics, operations, travel coordination or event administration.
  • Strong organisational and time management skills, with the ability to juggle multiple schedules and competing priorities.
  • Experience working with suppliers, contractors or service providers.
  • Excellent communication and stakeholder management skills, with a friendly and professional approach.
  • Strong attention to detail and problem-solving skills, particularly when plans change at short notice.
  • Confidence using Microsoft Office and scheduling systems.
  • The ability to work independently and collaboratively in a fast-paced environment.
  • Flexibility to work varied hours during the Festival period.

It's a bonus if you've worked in festivals, performing arts, events, tourism or hospitality, have experience coordinating artist or VIP transport, or know your way around Perth's transport networks and venues. A relevant qualification or unrestricted driver's license would also be an advantage.

Why join Perth Festival

You'll be part of the team that makes the magic happen behind the scenes, helping bring one of Australia's most-loved cultural events to life.

It's fast-paced, collaborative and full of variety. You'll work with talented people from across the arts and events industry, helping create memorable experiences for artists and audiences alike.

To apply, submit your resume and a short cover letter outlining your relevant transport, logistics or coordination experience.

We reserve the right to commence shortlisting immediately.
