Head of Operations

We are looking for a highly organised, proactive and commercially minded Business Operations Manager to drive day-to-day execution, manage strategic projects and build the systems and processes required to support our next stage of growth.

This is a high-visibility, cross-functional role working closely with the CEO. The successful candidate will progressively take ownership of operational matters currently handled by senior leadership, allowing the Directors to focus more on strategy, growth and business development.

Key Responsibilities

1. CEO Project Management

• Own CEO-driven projects from planning through execution.
• Manage timelines, stakeholders, deliverables and follow-ups.
• Ensure projects are completed on time and to the required standard.

2. Day-to-Day Operations

• Oversee operational flow across teams globally.
• Identify bottlenecks, resolve issues and keep teams unblocked.
• Drive accountability, deadlines and cross-functional coordination.

3. Systems, SOPs & Processes

• Build and implement company-wide SOPs, workflows and systems.
• Standardise processes and improve efficiency.
• Introduce effective reporting, tracking and management dashboards.

4. Team & Cross-Functional Leadership

• Coordinate teams across departments and locations.
• Establish clear ownership and accountability.
• Improve communication and collaboration across functions.

5. Scaling the Business

• Build operational infrastructure to support growth.
• Identify inefficiencies and implement scalable solutions.
• Support new systems, technology, processes and organisational improvements.

6. Leadership Offload

• Act as the operational right hand to the CEO and Directors.
• Take ownership of recurring operational issues and follow through on management decisions.
• Proactively identify and resolve issues before they require Director intervention.

What We're Looking For

• 8–12+ years of experience in operations, business operations, project management or a similar senior role.
• Proven experience managing multiple projects and cross-functional teams.
• Strong experience building SOPs, processes and systems from the ground up.
• Excellent organisational, communication and problem-solving skills.
• Strong follow-through and ability to manage multiple priorities.
• Comfortable working directly with CEOs / Directors and taking ownership.
• Hands-on, proactive and solutions-oriented.
• Experience in pharma, healthcare, trading, distribution or a regulated industry is preferred .
• Strong English & cantonese communication skills.

• Comfortable with HRMS, CRM, or ERP systems — Zoho experience a plus

• Excellent communicator
