HIGH-END MOVING SPECIALIST / PROJECT COORDINATOR

Department: Operations
Reports To: Operations Manager / General Manager
Employment Type: Full-Time
Position: High-End Moving Specialist / Project Coordinator
Location: Design District, Dallas, TX
Compensation: $22 - $32 Per Hour

POSITION SUMMARY

The High-End Moving Specialist / Project Coordinator is responsible for the successful planning, coordination, execution, and completion of high-end residential, commercial, furniture, art, and specialty moving projects.

This position serves as a primary point of contact between the client, interior designers, art consultants, vendors, movers, drivers, warehouse personnel, installers, and company management.

The Project Coordinator is expected to provide an exceptional white-glove level of service from the initial planning stages through final delivery, placement, installation, and project closeout.

This position requires someone who is highly organized, detail-oriented, professional, resourceful, and comfortable managing multiple moving parts simultaneously. The ideal candidate understands that high-end moving is not simply about transporting items from one location to another. It is about protecting valuable property, managing expectations, communicating clearly, solving problems quickly, and delivering a seamless client experience.

The Project Coordinator must maintain the highest standards of professionalism, appearance, communication, organization, safety, furniture handling, art handling, vehicle operation, and customer service.

The Project Coordinator is also responsible for safely operating company vehicles, including non-CDL box trucks ranging from smaller box trucks up to straight 26-foot box trucks, when assigned. The employee must comply with all applicable licensing, safety, inspection, loading, and transportation requirements associated with the vehicle being operated.

ESSENTIAL RESPONSIBILITIES

PROJECT PLANNING & COORDINATION

  • Coordinate high-end residential, commercial, furniture, art, installation, storage, and specialty moving projects from beginning to completion.
  • Coordinate loading, transportation, unloading, delivery, placement, installation, storage, and removal activities.

CLIENT COMMUNICATION & CUSTOMER SERVICE

  • Communicate project schedules, arrival times, requirements, delays, changes, and completion status.
  • Maintain professional and courteous communication with homeowners, executives, assistants, interior designers, art consultants, property managers, contractors, and other representatives.

HIGH-END FURNITURE HANDLING

  • Ensure all furniture is handled according to company training and established procedures.
  • Ensure furniture is properly padded, wrapped, secured, transported, and positioned.

ART & SPECIALTY ITEM HANDLING

  • Coordinate the handling, packing, transportation, delivery, and installation of artwork and specialty items.
  • Follow all company procedures regarding art handling and installation.

PROPERTY PROTECTION

The Project Coordinator must verify that appropriate floor protection, wall protection, corner protection, padding, runners, plastic, cardboard, blankets, or other protective materials are used as required.

CREW LEADERSHIP & QUALITY CONTROL

  • Direct and coordinate moving crews during assigned projects.
  • Ensure employees follow company policies and procedures.

VEHICLE & EQUIPMENT RESPONSIBILITIES

  • Operate company vehicles as assigned, including non-CDL box trucks ranging from smaller box trucks through straight 26-foot box trucks, provided the employee meets all applicable licensing and company requirements.
  • Safely drive and maneuver large box trucks in residential neighborhoods, commercial areas, loading docks, parking structures, city streets, highways, and other jobsite environments.
  • Demonstrate appropriate awareness of vehicle height, width, length, turning radius, overhead clearance, backing limitations, and stopping distance.

WAREHOUSE & STORAGE COORDINATION

  • Coordinate items moving into or out of company storage.
  • Ensure items are properly wrapped, labeled, and positioned.

PROBLEM SOLVING

High-end moving projects frequently involve unexpected challenges. The Project Coordinator is expected to identify problems quickly and develop practical solutions.

Examples include:

  • Furniture that does not fit through an intended access point
  • Elevator or building access issues
  • Unexpected construction
  • Missing hardware
  • Client-requested changes

The Project Coordinator must remain calm, professional, and solution-oriented while protecting the customer's property and the company's interests.

PROFESSIONAL STANDARDS

The Project Coordinator is expected to consistently demonstrate:

Professional Appearance

  • Clean and professional clothing/uniform

Professional Communication

  • Clear and respectful communication

Professional Conduct

  • Discretion when working inside private residences
  • Honest reporting of damage or mistakes
  • Reliable attendance and punctuality

REQUIRED QUALIFICATIONS

  • Valid driver's license with a driving record that meets company requirements.
  • Demonstrated ability and willingness to safely operate non-CDL box trucks, including straight box trucks up to 26 feet in length, when assigned.

PHYSICAL REQUIREMENTS

This position may require the employee to:

  • Stand and walk for extended periods.
  • Bend, kneel, reach, climb stairs, and work in confined spaces.
  • Lift and carry furniture and equipment.

CORE EXPECTATION

The High-End Moving Specialist / Project Coordinator represents the company directly in front of its most important clients.

Every project should be approached with the mindset that the customer's home, furniture, artwork, and personal property must be treated as if they belong to the company itself.

The Project Coordinator is expected to take ownership of the project from preparation through completion, communicate proactively, identify problems before they become larger problems, protect the customer's property, support the crew, safely operate company vehicles when assigned, and deliver the level of service expected from a premium white-glove moving and installation company.

If something is not right, the Project Coordinator is expected to address it rather than simply pass the problem to someone else.
