Visiting Angels is looking for a dependable, compassionate, and detail-oriented Scheduler / On-Call Support professional to join our growing team!

As a Scheduler, you will play an essential role in connecting our caregivers with the clients who depend on them. You will help ensure that shifts are covered, schedules run smoothly, and our clients continue receiving the quality care they deserve.

This position is ideal for someone who can think quickly, remain calm under pressure, and balance multiple priorities while delivering exceptional customer service.

What You'll Do

Scheduling & Caregiver Coordination

• Coordinate caregiver schedules to meet client needs and maintain continuity of care.
• Fill open shifts efficiently while prioritizing consistency between caregivers and clients.
• Communicate daily scheduling changes to caregivers, clients, and their families.
• Maintain accurate schedules and caregiver information in our scheduling software.
• Monitor caregiver clock-ins and clock-outs, making necessary corrections to support accurate payroll and billing.
• Keep leadership informed of scheduling challenges and unresolved shifts.

Communication & Client Support

• Serve as a reliable point of contact for caregivers, clients, and families.
• Build positive, professional relationships with caregivers and fellow team members.
• Respond promptly and professionally to scheduling questions and concerns.
• Assist with incoming inquiries from prospective clients and direct them to the appropriate team members.
• Reinforce company policies, expectations, and procedures.
• Maintain strict confidentiality of employee and client information.

On-Call Support

• Provide evening and weekend on-call support as assigned.
• Respond to urgent caregiver and client needs outside regular business hours.
• Return missed after-hours calls within 15 minutes.
• Assist with last-minute call-offs and unexpected scheduling changes.
• Accurately document after-hours calls and actions taken.
• Escalate concerns to management when necessary.

What We're Looking For

• High school diploma or equivalent.
• At least two years of office experience; private-duty home care experience is preferred.
• 1 year of Home Care Scheduling Experience
• Experience with scheduling software, Google Business, and electronic recordkeeping.
• Strong organizational skills and excellent attention to detail.
• Excellent written and verbal communication skills.
• Ability to multitask, prioritize, and meet deadlines.
• Strong problem-solving skills and the ability to remain calm in challenging situations.
• A dependable, proactive, and team-oriented attitude.
• Ability to work independently while collaborating with others.
• Commitment to professionalism, confidentiality, and outstanding customer service.
• Authorization to work in the United States.

Home care scheduling experience is a plus! We are looking for someone who understands the importance of reliability, teamwork, and compassionate service.
