The Role

We’re looking for a Hospitality Manager who understands that exceptional hospitality is about more than service — it’s about creating an environment where every guest feels genuinely cared for, understood, and at ease.

As the Hospitality Manager, you’ll be the primary point of connection between guests, the Avira team, and the retreat experience. You’ll oversee the day-to-day guest journey, anticipate needs before they arise, coordinate retreat logistics, and ensure every detail reflects Avira Reserve’s elevated standard.

This role is ideal for someone who is naturally warm, highly organized, detail-oriented, and comfortable taking ownership in a private, high-touch environment. You’ll work closely with the wellness and operations teams to create a seamless experience from the moment a guest arrives through the completion of their stay.

Responsibilities

• Anticipate guest needs and proactively address requests, preferences, and concerns
• Coordinate daily guest schedules, appointments, activities, meals, wellness services, and retreat programming
• Maintain clear communication between guests and the wellness, hospitality, and operations teams
• Ensure guest schedules remain organized, accurate, and adaptable as needs change
• Assist with coordinating transportation, special requests, reservations, and other concierge needs when applicable
• Maintain a detailed understanding of each guest’s itinerary, preferences, and experience to provide personalized service
• Oversee hospitality spaces and ensure guest areas are consistently clean, organized, welcoming, and prepared
• Help maintain the overall atmosphere and presentation of Avira Reserve to an exceptional standard
• Support food and beverage service, including coordinating meals, refreshments, and special dietary requests with the appropriate team members
• Assist with guest arrivals, departures, transitions, and special occasions
• Respond calmly and professionally to guest concerns, finding thoughtful solutions while protecting the Avira experience
• Identify opportunities to exceed guest expectations and create memorable moments throughout their stay
• Collaborate with the wellness team to ensure the hospitality experience complements each guest’s restoration journey
• Help establish and maintain hospitality standards, procedures, and service expectations
• Support the team in maintaining a discreet, respectful, and highly professional environment
• Represent the Avira Reserve brand with warmth, professionalism, discretion, and genuine care
• Contribute to an environment where every guest and team member feels seen, supported, and welcome

Qualifications

• 2+ years of experience in luxury hospitality, boutique hotels, private clubs, wellness retreats, resorts, concierge services, or a comparable high-touch service environment
• Previous leadership, supervisory, or management experience preferred
• Exceptional customer service and interpersonal skills
• Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously
• Comfortable working in a private, high-touch environment where discretion and professionalism are essential
• Strong communication skills and the ability to coordinate effectively across multiple departments
• Ability to anticipate guest needs and respond proactively rather than reactively
• Calm and composed under pressure, with strong problem-solving skills
• Comfortable adapting to changing schedules, guest requests, and evolving retreat needs
• Professional appearance and demeanor consistent with an elevated wellness environment
• Genuine passion for hospitality, wellness, and creating meaningful guest experiences
• Comfortable working independently while also functioning as part of a close-knit team
• CPR/AED certification preferred or ability to obtain
• Hospitality, wellness, concierge, or related certifications are a plus
