HR & Admin Assistant (Work Pass Applications)

We are an established M&E engineering contractor supporting major construction and semiconductor projects in Singapore. We are looking for a responsible and detail-oriented HR & Admin Assistant to support our work pass applications and daily HR operations.

Key Responsibilities

• Handle Work Permit applications, renewals, cancellations and related submissions.
• Monitor Work Permit expiry dates, quota, levy, medical examinations, insurance and other regulatory requirements.
• Maintain accurate employee records and HR documents.
• Coordinate employee onboarding and offboarding.
• Assist with attendance, leave, payroll information and employee enquiries.
• Arrange employee training, medical appointments and other administrative matters.
• Communicate with workers, project teams and relevant external parties.
• Provide general administrative support to management and the HR department.
• Perform other HR and administrative duties as assigned.

Requirements

• Prior experience handling Singapore Work Permit applications is strongly preferred.
• Familiar with MOM work pass procedures and requirements.
• Good organisational skills and attention to detail.
• Able to manage deadlines and follow up on multiple cases independently.
• Proficient in Microsoft Word and Excel.
• Proficiency in English is required to communicate with Mandarin-speaking workers and process Chinese-language employment documents.
• Responsible, patient and willing to learn.
• Candidates with experience in the construction or engineering industry will have an advantage.
