HR & Admin Executive

We are looking for an HR & Admin Executive to join our growing team in Johor Bahru. This is an excellent opportunity for someone who wants to take ownership of HR operations, payroll, recruitment and retail workforce management while gaining broad exposure to a growing retail business.

💼 What You'll Be Doing

• Manage the employee lifecycle from recruitment and onboarding through confirmation, transfer, promotion and resignation

• Handle recruitment activities for retail outlets, including job postings, candidate screening, interviews and offer preparation

• Maintain accurate employee records, personnel files and HR databases

• Prepare employment contracts, confirmation letters, HR correspondence and other employee documentation

• Monitor attendance, leave, overtime, MC and other employee-related matters

• Coordinate and process monthly payroll accurately and on time

• Verify salary, allowances, deductions, overtime, leave, commissions, incentives and other payroll components

• Calculate and process sales commissions, KPI incentives, bonuses and performance-related payments

• Work closely with outlet managers and supervisors on staffing and employee-related matters

• Prepare HR reports, attendance reports, staff lists and other management reports

• Handle day-to-day HR and general administrative matters.

• Maintain proper filing and documentation systems.

• Assist with staff uniforms, company assets, office supplies and other administrative requirements.

• Liaise with vendors, service providers and government/statutory agencies when required.

• Support company activities, meetings and staff engagement programs.

🎯 What We're Looking For

• Diploma/Degree in Human Resources, Business Administration, Management or a related field
• 2–4 years of relevant HR experience, preferably in retail, F&B, hospitality or a multi-outlet environment
• Hands-on experience in monthly payroll processing is highly preferred
• Good understanding of Malaysian employment practices and statutory requirements
• Strong Excel and Microsoft Office skills
• Excellent organizational skills and attention to detail
• Good communication and interpersonal skills
• Able to maintain confidentiality when handling sensitive employee information
• Independent, responsible and comfortable managing multiple tasks
• Willing to travel between retail outlets in Johor Bahru when required
