Company: Furlenco
Location: Bhiwandi, Maharashtra
Experience: Minimum 3 years +
Work Mode: Work from Office

About Furlenco

Furlenco is a furniture and lifestyle company that enables customers to rent, buy, sell, and buy back furniture and home essentials. Our operations span furniture delivery, installation, servicing, refurbishment, and reverse logistics, making our warehouse operations an integral part of the customer experience.

Role Overview

We are looking for a hands-on, proactive, and execution-focused HR & Admin Executive to manage workforce-related activities and day-to-day administration at our Bhiwandi warehouse.

The role involves managing both on-roll and off-roll blue-collar employees, tracking attendance, coordinating with manpower vendors, maintaining employee records on Keka(HRMS Portal), and handling warehouse administrative expenses and vendor invoices.

We are looking for someone who takes ownership, works well with warehouse teams, follows through on pending tasks, and ensures that daily operations run smoothly without constant supervision.

Key Responsibilities

1. Blue-Collar Workforce Management

  • Manage the day-to-day HR activities of on-roll and off-roll warehouse employees, including warehouse associates, pickers, packers, loaders, helpers, and other operational staff.
  • Coordinate with warehouse managers and supervisors to understand manpower requirements and ensure adequate workforce availability across shifts.
  • Coordinate with manpower vendors and contractors for workforce deployment, replacements, absenteeism, and additional staffing requirements.
  • Support employee joining and exit formalities, documentation, ID cards, uniforms, and other onboarding requirements.
  • Address employee queries and concerns related to attendance, salary, leave, shifts, and workplace facilities.
  • Maintain employee discipline, support grievance resolution, and escalate issues when required.

2. Attendance & Keka Management

  • Maintain accurate daily attendance, shift records, leave records, overtime details, and absenteeism reports.
  • Manage employee records and relevant HR processes on Keka, including employee allocation/assignment, onboarding updates, attendance tracking, and other applicable system activities.
  • Coordinate with warehouse supervisors and manpower vendors to verify attendance and resolve discrepancies.
  • Compile and validate attendance and overtime data for payroll processing and vendor billing.
  • Follow up on pending employee records, system updates, and attendance regularisation to ensure timely closure.

3. Manpower Vendor Coordination

  • Act as the primary coordination point for manpower vendors supplying off-roll employees to the warehouse.
  • Communicate workforce requirements, track deployment, and follow up on attendance, replacements, and employee-related issues.
  • Collect and verify attendance sheets, wage sheets, and supporting documents received from vendors.
  • Coordinate with vendors and the internal HR and Finance teams to resolve discrepancies related to manpower billing and salary payments.
  • Track vendor documentation and support the collection of applicable statutory compliance documents, including PF and ESIC records, wherever relevant.

4. Warehouse Administration & Employee Welfare

  • Manage day-to-day administrative requirements to ensure the warehouse remains organised and operational.
  • Ensure the availability of basic employee amenities such as drinking water, tea, housekeeping supplies, washroom facilities, and other workplace essentials.
  • Coordinate with housekeeping, security, maintenance, pantry, and other service providers as required.
  • Monitor administrative supplies, uniforms, safety shoes, personal protective equipment (PPE), and other employee essentials.
  • Coordinate repairs, maintenance requests, and facility-related issues with the relevant teams and vendors.
  • Ensure that basic workplace safety, cleanliness, and employee welfare requirements are addressed promptly.

5. Invoices, Expenses & Documentation

  • Collect and maintain warehouse-related invoices, bills, expense statements, and supporting documents.
  • Verify bills against applicable quotations, purchase orders, agreed rates, attendance records, or service details, wherever relevant.
  • Raise or coordinate expense submissions and route invoices to the appropriate stakeholders for approval.
  • Follow up with Finance, Procurement, warehouse teams, and vendors to resolve discrepancies and ensure timely invoice processing.
  • Maintain trackers for recurring expenses, vendor payments, administrative purchases, and pending approvals.
  • Ensure records are accurate, properly documented, and readily available when required.

6. Reporting & Compliance Support

  • Prepare regular reports on workforce strength, attendance, absenteeism, overtime, vendor manpower, and administrative expenses.
  • Maintain updated records for both on-roll and off-roll employees.
  • Support internal audits and ensure relevant employee, vendor, and administrative documentation is maintained.
  • Coordinate with the central HR team on employee-related processes, policy implementation, and compliance requirements.
  • Identify recurring operational or employee-related issues and proactively work towards resolving them.

Requirements

  • Minimum 3 years of experience in HR operations, warehouse HR, factory HR, industrial HR, or administration.
  • Prior experience handling blue-collar employees and contractual manpower is essential.
  • Experience coordinating with manpower vendors, contractors, or staffing agencies.
  • Working knowledge of attendance management, payroll inputs, employee documentation, and basic HR processes.
  • Familiarity with HRMS platforms; experience using Keka will be an advantage.
  • Basic knowledge of MS Excel, expense tracking, invoice verification, and vendor coordination.
  • Understanding of applicable labour compliance requirements, including PF and ESIC, is preferred.
  • Good communication and coordination skills, with the ability to work effectively with frontline employees and multiple stakeholders.
  • Must be comfortable working full-time from the warehouse in Bhiwandi.

What We Are Looking For

  • Strong ownership: Takes responsibility for tasks and ensures they are completed on time.
  • Execution-oriented: Proactively follows up, resolves issues, and gets things done without waiting for repeated instructions.
  • People management skills: Can handle a diverse blue-collar workforce firmly, fairly, and respectfully.
  • Attention to detail: Maintains accurate attendance records, employee data, bills, and documentation.
  • Problem-solving ability: Can manage day-to-day challenges independently and escalate matters appropriately.
  • Local availability: Candidates residing in Bhiwandi or nearby areas are strongly preferred, given the on-site nature of the role and the need to be closely involved in daily warehouse operations.

Preferred background: Candidates from warehousing, logistics, e-commerce, furniture, manufacturing, or other operational environments involving a sizeable blue-collar workforce.
