We are seeking a detail-driven, objective, and compassionate HR Assistant to join our team. In this role, you will take ownership of end-to-end disability accommodations, guide medical professionals through the return-to-work process, and serve as a trusted partner to physicians and departmental leaders. Beyond case management, you will play an integral role in quality-checking compensation job descriptions, developing compliant pre-screening assessments, and maintaining precision within the Taleo system.

The ideal candidate combines sharp critical thinking and analytical rigor with exceptional communication and high standards of confidentiality.

  • Pay Rate: Starts at $28.00/hour
  • Work Arrangement: Hybrid
  • Location: 393 E. Walnut St., Pasadena, CA 91188
  • Schedule: Monday – Friday, 8:00 AM – 5:00 PM

Key Responsibilities

  • Disability & Accommodation Case Management: Independently coordinate disability accommodation requests and facilitate the return-to-work process for physicians recovering from injury or illness, serving as the central point of contact for leaders and medical staff.
  • Compensation & Job Description Auditing: Review, standardize, and quality-audit regional compensation job descriptions to ensure clarity, consistency, and adherence to established organizational benchmarks.
  • Pre-Screening & Compliance: Formulate and validate OFCCP-compliant candidate pre-screening criteria tied directly to baseline role qualifications.
  • ATS & Data Integrity: Enter, update, and audit job templates, question sets, and evaluation content inside Taleo, maintaining meticulous data precision and candidate record accuracy.
  • Workflow & Deliverable Management: Monitor high-volume case documentation and HR deliverables against strict deadlines while providing timely, structured progress updates to stakeholders.

Requirements & Qualifications

  • Education: Bachelor’s degree (B.A. / B.S.) required.
  • Experience: 2–4 years of experience in human resources, disability accommodation case management, or HR operations.
  • Technical Skills:
  • Proficiency in Applicant Tracking Systems (ATS), with hands-on Taleo experience strongly preferred.
  • Strong working knowledge of MS Office Suite (specifically Word and Excel).
  • Typing speed of 35–50 WPM.
