Human Resources Executive

Key Responsibilities

1. Payroll & Statutory Compliance

• Execute full-cycle payroll processing with accuracy and timeliness, including overtime, allowances, and deductions.
• Ensure compliance with all statutory contributions and submissions (EPF, SOCSO, EIS, PCB).
• Maintain up-to-date knowledge of Malaysian labour regulations and ensure organisational compliance.

2. Employee Lifecycle Management

• Prepare and administer employment documentation, including offer letters, confirmations, promotions, transfers, terminations, and contract renewals.
• Maintain accurate and up-to-date employee records in HR systems and physical files.
• Ensure proper documentation and audit readiness at all times.

3. Recruitment & Workforce Planning

• Support end-to-end recruitment processes, including sourcing, screening, coordination, and onboarding.
• Assist in manpower planning in alignment with operational requirements, including shift-based workforce needs.
• Manage documentation and compliance for hiring, including foreign workers.

4. Foreign Worker Administration

• Oversee all matters related to foreign workers, including work permits, visa applications, renewals, and regulatory compliance.
• Liaise with government agencies and external vendors on immigration and licensing matters.
• Ensure adherence to all statutory and regulatory requirements.

5. Employee Relations & Welfare

• Act as a point of contact for employee queries on HR policies, payroll, and benefits.
• Support employee engagement and welfare initiatives.
• Handle employee relations matters in accordance with company policies and labour laws.

6. Hostel & Compliance Management

• Ensure employee accommodation complies with the Workers’ Minimum Standards of Housing and Amenities Act (Act 446).
• Conduct periodic checks and maintain proper documentation for compliance.

7. Training & Development

• Coordinate and administer training programs in line with organisational needs.
• Ensure compliance with HRD Corp (HRDF) requirements, claims, and submissions.
• Support development of structured training and leadership programs.

8. HR Systems & Reporting

• Maintain and optimise HRIS for data accuracy and reporting.
• Generate regular HR reports (headcount, turnover, payroll summaries, etc.).
• Support data-driven decision-making within HR and operations.

9. General

• Support ad-hoc HR initiatives, projects, and assignments as required by management.

Requirements

• Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or related discipline.
• Minimum 3 years of relevant experience, with strong exposure to payroll and statutory compliance.
• Solid understanding of Malaysian labour laws, including the Employment Act 1955, Industrial Relations Act 1967, and Act 446.
• Proven experience handling foreign worker administration is highly preferred.
• Prior experience in F&B, retail, or other labour-intensive, multi-outlet environments is strongly preferred.
• Proficient in HRIS and payroll systems.
• Strong attention to detail with a high level of accuracy and confidentiality.
• Good interpersonal and communication skills; able to engage with employees across all levels.
• Proficiency in English and Mandarin/Cantonese to support operational communication needs.
