HR Manager - Onboarding Operations

Job Summary

The HR Manager for Onboarding Operations is responsible for leading all HR Onboarding/New Hire Orientation activities to support the company's strategic goals and workforce needs.

This position works closely with Directors and the management team to manage the new hire onboarding experience and ensure compliance.

The HR Manager provides high-level oversight of the HR onboarding team, works closely with Team Leads and Supervisors, addresses escalated issues, and serves as a subject matter expert for the onboarding process.

Duties & Responsibilities

• Manage and oversee the overall hiring/onboarding team and new hire process.
• Ensure compliance with all policies, procedures, statutory training requirements, and HR onboarding processes.
• Provide oversight of ATS/Onboarding systems and ensure team members are compliant at all stages.
• Manage new hire onboarding processing, including required billing compliance data, CU clearances, HIPAA and Chaperone training, drug screening, PPD testing, and Article 28 requirements, when applicable.
• Provide final-level approval for Offer Letters and review New Hire Audit reports.
• Track Time to Hire metrics and support overarching company goals.
• Address escalated issues and mentor the onboarding team and Team Leads.
• Analyze HR processes and identify opportunities to improve efficiency and service delivery.
• Collaborate with Directors and colleagues to streamline and standardize onboarding/offboarding procedures.
• Support and participate in cross-functional HR process improvement projects.
• Ensure compliance with Harassment, Diversity, HIPAA, OSHA, Confidentiality Agreement, and Chaperone training requirements.
• Oversee annual health assessments for required clinical staff.
• Ensure compliance with the I-9 process during onboarding and post-hiring.
• Provide training and support to HR staff on new processes and tools.
• Conduct management training on the onboarding process.

• Conforms to all applicable HIPAA, Billing compliance, and safety guidelines.
• Previous project management experience preferred.

Qualifications

• Associate degree / may be substituted with the equivalent experience; BA/BS in HR or related field required.
• Minimum 3–5 years of experience in Human Resources.
• Minimum 3 years of Supervisory experience required.
• Minimum 3 years of experience working with ATS & HRIS systems.
• Must possess considerable knowledge of HR policies and principles.
• Hybrid work schedule after successfully completing six months of employment.
