Summary:

This role sits inside an HR team guided by an HR team lead. As an HR Representative, you will respond directly to new-hire questions, organize onboarding activities, and help people understand next steps as they join the organization. Your careful follow-through matters because clear information, timely updates, and organized handoffs help new team members begin with confidence. You will work closely with recruiters, hiring managers, training contacts, and other HR representatives while keeping the team informed of open questions and needed actions. This fully remote, work from home position is based in New York, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:

  • Monitor assigned email, phone, and HR system queues for new-hire questions, onboarding requests, and status updates.

  • Review submitted onboarding information for completeness, identify missing details, and enter approved updates in an HR system such as Workday.

  • Respond to routine questions with clear, accurate information about onboarding steps, contacts, required actions, and available resources.

  • Coordinate welcome activities and introductory sessions using a scheduling and calendar such as Calendly, confirming participation and sharing relevant details.

  • Update candidate progression and onboarding milestones in an applicant-tracking system such as Lever after receiving confirmed information from recruiters.

  • Maintain organized notes on conversations, requests, actions taken, pending items, and follow-up dates within the appropriate system.

  • Contact new hires when information is incomplete, clarify the needed action, and follow up until the request can move forward.

  • Route complex questions, sensitive concerns, or exceptions to the HR team lead or appropriate HR contact with a concise summary.

  • Partner with recruiters and hiring managers to coordinate handoffs, share status updates, and prevent delays during onboarding.

  • Meet quality expectations through accuracy, timely turnaround, complete notes, appropriate follow-up, and respectful responses.

Qualifications:

  • High school diploma or equivalent.

  • No experience required; related experience supporting onboarding, recruiting, office coordination, or people-focused services preferred.

  • Familiarity with onboarding steps, new-hire communications, and the importance of handling workplace information thoughtfully preferred.

  • Comfort using an HR system such as Workday to update profiles, review task status, and locate onboarding information.

  • Ability to use an applicant-tracking system such as Lever and a scheduling and calendar such as Calendly after training.

  • Strong ability to explain steps clearly through phone and written interactions with new hires, recruiters, and hiring managers.

  • Ability to prioritize incoming requests, maintain organized task notes, and follow established workflows in a desk-based setting.

  • Reliable computer, high-speed internet, and a quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.

  • Authorization to work in the United States.

Perks & Benefits:

  • Fully remote work from a desk-based home workspace in New York, United States.

  • Structured onboarding and training on Workday, Lever, Calendly, team workflows, and response standards.

  • Regular check-ins with the HR team lead for guidance, feedback, and workflow support.

  • Opportunity to build skills in orientation programs, new-hire communications, HR systems, and stakeholder coordination.

  • Health coverage, paid leave, maternity leave, bonus opportunities, and stipends.
