  • Assist with employee questions and escalate more complex matters to the appropriate HR team member.
  • Support onboarding and offboarding activities, including documentation, orientation scheduling, system access coordination, and file management.
  • Coordinate employee communications and distribution of HR-related information.

Coordination & Administration

  • Coordinate training sessions, meetings, orientations, and employee events, including scheduling, logistics, and materials preparation.
  • Support performance management processes by preparing review materials, maintaining tracking records, scheduling meetings, and following up on outstanding actions.
  • Manage calendars, schedule meetings, process invoices, and provide general administrative support to the HR team.
  • Prepare presentations, reports, and supporting materials for HR programs and initiatives.

Reporting & Tracking

  • Maintain spreadsheets, tracking tools, and HR reporting data.
  • Generate standard reports and support the preparation of workforce metrics and HR reporting.
  • Track training participation, policy acknowledgements, performance review completion, and other departmental activities.
  • Follow up on outstanding items to ensure information, documentation, and approvals are received on time.

Qualifications

  • Diploma or certificate in Office Administration, Business Administration, or a related field.
  • Experience in an administrative, executive assistant, office administrator, or similar support role.
  • Experience supporting Human Resources functions is considered an asset.
  • Strong organizational, planning, and time-management skills.
  • Exceptional attention to detail and commitment to accuracy.
  • Strong written and verbal communication skills.
