About the Position

Willie C. & Sons Landscaping is looking for an experienced, highly organized, and detail-oriented Human Resources Coordinator/Bookkeeper to join our team.

This is a key position within our company and is ideal for someone who is confident working independently, takes ownership of their responsibilities, and has strong experience in human resources, recruiting, payroll, and bookkeeping.

We are looking for an experienced professional who can step into the role, take ownership of their responsibilities, and become a trusted resource for both management and employees.

The right candidate will be comfortable wearing multiple hats and managing competing priorities while maintaining a high level of accuracy, confidentiality, and professionalism.

What You'll Be Responsible For

Human Resources & Recruiting

  • Own the company's recruiting process from start to finish.
  • Develop and post job advertisements and manage candidate communications.
  • Review applications, conduct interviews, coordinate reference checks and pre-employment screenings, and assist with candidate selection.
  • Prepare offers and coordinate the complete new-hire onboarding process.
  • Maintain accurate and confidential employee personnel records.
  • Serve as a primary point of contact for employees regarding HR policies, benefits, payroll, PTO, and other employment-related questions.
  • Coordinate employee training, orientations, and safety-related documentation.
  • Manage employee leave, PTO, attendance, and related records.
  • Handle sensitive employee information with a high degree of confidentiality and discretion.

Payroll

  • Manage payroll from start to finish, ensuring accurate and timely processing.
  • Maintain employee payroll records, deductions, tax information, benefits, retirement contributions, and other payroll-related information.
  • Work directly with the company's payroll provider to manage payroll processing and resolve issues.
  • Identify and resolve payroll discrepancies and issues quickly and accurately.
  • Coordinate payroll-related reporting and compliance requirements.

Bookkeeping

  • Manage day-to-day bookkeeping functions, including accounts payable and accounts receivable.
  • Process customer invoices and monitor outstanding receivables.
  • Maintain accurate vendor records, W-9s, payment records, and other financial documentation.
  • Assist with job costing and financial recordkeeping.
  • Prepare and maintain accurate bookkeeping reports and records.
  • Apply Generally Accepted Accounting Principles (GAAP) to applicable bookkeeping functions.
  • Maintain organized and accurate financial records and documentation.
  • Coordinate with outside accounting professionals as needed.

What We're Looking For

Required:

  • 3+ years of professional experience in human resources, payroll, and/or bookkeeping.
  • Demonstrated ability to independently manage HR, recruiting, payroll, and bookkeeping responsibilities.
  • Strong working knowledge and practical application of GAAP.
  • Extensive payroll knowledge and experience. You should know payroll inside and out and be capable of managing the process independently.
  • Strong knowledge of HR administration and employment practices.
  • Knowledge of federal and Maine employment laws and regulations.
  • Strong Microsoft Office skills, particularly Microsoft Excel.
  • Strong experience with payroll and HRIS systems.
  • Experience with accounting/bookkeeping software.
  • Exceptional attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to maintain strict confidentiality.
  • Strong problem-solving skills and sound judgment.
  • Ability to work independently, take initiative, and manage multiple priorities.

Preferred:

  • Experience in the landscaping, construction, or service industry.
  • Experience supporting a primarily hourly or field-based workforce.
  • Experience with Paychex or a similar payroll/HRIS platform.
  • Experience administering employee benefits and leave programs.
  • Experience working directly with outside accountants, payroll providers, insurance carriers, and other business service providers.

If you're an experienced professional who enjoys a fast-paced environment, takes pride in getting the details right, and wants a position where your work genuinely matters, we'd like to hear from you.
