About the Role

We are seeking a hands-on, detail-oriented HR Generalist to support the day-to-day human resources operations of a growing company. This role will serve as a key point of contact for employees and managers and will be responsible for supporting the employee lifecycle from recruiting and onboarding through payroll, benefits, leave administration, compliance, employee relations, and offboarding.

The ideal candidate is highly organized, comfortable working independently, and able to balance day-to-day employee needs with longer-term HR process improvements. This position requires strong judgment, discretion, follow-through, and the ability to identify issues before they become problems.

This is a hands-on role for someone who enjoys building structure, improving processes, and being the person others can rely on when an HR question comes up.

Key Responsibilities

HR Operations & Employee Support

  • Serve as a primary HR point of contact for employees and managers regarding policies, procedures, benefits, payroll questions, time off, workplace concerns, and general HR matters.
  • Maintain accurate and confidential employee records, personnel files, employment documentation, and HR databases.
  • Prepare and maintain HR forms, policies, procedures, templates, SOPs, and employee communications.
  • Ensure HR processes are consistently documented and followed across departments.
  • Assist management with interpreting and implementing company policies and procedures.
  • Support employee relations matters, including documenting concerns, conducting fact-finding, and escalating issues when appropriate.
  • Maintain confidentiality when handling sensitive employee and company information.

Recruiting & Onboarding

  • Coordinate the recruiting and hiring process from job posting through onboarding.
  • Prepare job descriptions, job postings, offer letters, and other employment documents.
  • Coordinate interviews, reference checks, background checks, Live Scan/fingerprint screening, employment eligibility verification, and other pre-employment requirements as applicable to the position.
  • Coordinate new-hire paperwork, including I-9 and other required employment documentation.
  • Manage onboarding checklists and ensure new employees complete required forms, training, and company policies.
  • Coordinate employee offboarding, including documentation, final payroll coordination, company property, benefits notifications, and access removal.

Payroll & Timekeeping

  • Coordinate and review semi-monthly payroll processing and ensure payroll information is accurate and submitted on time.
  • Review employee pay, deductions, bonuses, commissions, reimbursements, PTO/STO, and other payroll-related items for accuracy.
  • Work with management and Finance to resolve payroll discrepancies and exceptions.
  • Maintain payroll exception and correction records.
  • Assist with payroll audits and documentation.
  • Coordinate with payroll providers and internal Finance personnel regarding payroll questions and corrections.
  • Monitor compliance with applicable wage-and-hour requirements, including overtime, meal and rest periods, exempt/non-exempt classifications, and commission-related pay practices.
  • Maintain accurate records relating to compensation changes, bonuses, commissions, and other employee compensation.

Benefits Administration

  • Administer employee benefits, including health insurance and other company-sponsored benefits.
  • Coordinate new-hire enrollments, qualifying life events, terminations, and benefit changes.
  • Serve as a point of contact between employees, benefit brokers, insurance carriers, and the company.
  • Review benefit billing and eligibility information and assist with resolving discrepancies.
  • Communicate benefit information and deadlines to employees.
  • Maintain accurate benefit records and documentation.

Leave & Attendance Administration

  • Coordinate employee leave requests and maintain appropriate leave documentation.
  • Assist with administration of applicable federal and California leave programs and company leave policies.
  • Track leave eligibility, usage, return-to-work dates, and required documentation.
  • Coordinate with employees, managers, benefits providers, and other parties as necessary during leave administration.
  • Maintain appropriate confidentiality regarding employee leave and accommodation matters.

HR Compliance

  • Help ensure company practices comply with applicable federal, state, and local employment requirements.
  • Monitor changes to California employment laws and HR requirements and communicate relevant changes to management.
  • Maintain required employment records and documentation.
  • Assist with wage-and-hour, workers' compensation, unemployment, and other employment-related compliance matters.
  • Coordinate workers' compensation claims and communicate with employees, insurance carriers, and brokers as needed.
  • Assist with workers' compensation policy renewals, employee classification information, payroll reporting, and audits.
  • Support required employment notices, postings, and compliance documentation.
  • Coordinate with outside HR professionals, insurance brokers, payroll providers, and legal counsel when appropriate.

HR Policies, Procedures & Process Improvement

  • Develop, update, and maintain employee handbook policies, HR procedures, and SOPs.
  • Identify gaps or inefficiencies in existing HR processes and recommend improvements.
  • Create standardized workflows, checklists, forms, and tracking systems to improve HR consistency and accountability.
  • Maintain HR calendars and compliance deadlines.
  • Assist with implementing HR systems and improving the use of existing HR technology.
  • Help establish clear processes for payroll, onboarding, benefits, leave, employee documentation, performance management, and other HR functions.

Training & Employee Development

  • Coordinate required employee training and maintain training records.
  • Manage and monitor completion of assigned courses through the company's learning management system.
  • Send training reminders and follow up on outstanding requirements.
  • Assist with developing onboarding and employee training materials.
  • Support managers with employee development and performance-related processes.

General Administrative Support

  • Maintain organized electronic and physical HR records.
  • Prepare reports and HR-related documentation for management.
  • Assist with internal audits and information requests.
  • Coordinate with Finance, Operations, management, and other departments on matters affecting employees.
  • Perform other HR-related duties and projects as assigned.

QualificationsRequired

  • 2+ years of experience in human resources, HR operations, or a related role.
