The ideal candidate exercises sound judgment, takes initiative, and follows through on commitments. They can resolve everyday HR questions, recognize when a matter requires additional guidance, and connect employees with the appropriate resource. They also use ADP, Excel, and practical tracking tools to keep work organized, identify recurring issues, and recommend improvements.

Key Responsibilities Employee Relations and Support

  • Serve as an accessible point of contact for employee questions, workplace concerns, and guidance on company policies and procedures.
  • Address routine employee relations matters within established policies, including attendance, communication, and everyday workplace concerns.
  • Gather relevant information, document concerns objectively, and coordinate appropriate next steps.
  • Promptly escalate complex or sensitive matters, including allegations of harassment, discrimination, retaliation, or serious misconduct, to the HR Director or CHRO.
  • Direct employees to the appropriate HR, Payroll, Benefits, or management resource and follow up to ensure their questions are addressed.
  • Assist the HR Director with fact gathering, meeting coordination, and documentation.
  • Maintain a confidential tracker of employee relations matters, next steps, owners, and outstanding commitments.
  • Handle confidential information with discretion and share it only with those who need it to perform their responsibilities.

Performance Management and Employee Development

  • Manage the performance review calendar, track completion, and follow up with managers on outstanding reviews.
  • Review submissions for completeness and coordinate missing information, employee acknowledgments, and required approvals.
  • Support career development initiatives by gathering performance history, maintaining development plans, and tracking agreed-upon actions and deadlines.
  • Coordinate performance and development discussions and prepare supporting materials.
  • Assist with coaching documentation, performance improvement plans, and disciplinary letters under the HR Director’s guidance.
  • Flag overdue commitments and recurring issues requiring leadership attention.

Training And Required Documentation

  • Assign existing training courses through established systems and coordinate training sessions.
  • Track training deadlines, completion records, and outstanding requirements; follow up with employees and managers.
  • Prepare training completion summaries for HR leadership.
  • Track handbook acknowledgments and other required employee documentation.
  • Maintain complete, accurate, and accessible records of training and acknowledgments.

  • Maintain accurate employee records and supporting documentation in ADP Workforce Now.
  • Process approved employee changes and coordinate related communications with Payroll and other HR team members.
  • Route compensation changes and other employee actions for required approvals, tracking them through completion.
  • Perform routine data checks, investigate missing or inconsistent information, and coordinate corrections.
  • Run standard ADP reports and maintain Excel trackers to support HR activities.
  • Prepare a concise monthly HR summary covering review completion, training status, employee changes, and outstanding action items.
  • Identify recurring patterns or process delays, gather relevant facts, and recommend practical improvements.
  • Resolve routine ADP questions within established procedures and coordinate more complex issues with the appropriate resource.

Onboarding, Offboarding, and HR Projects

  • Support onboarding and offboarding, including paperwork, orientation coordination, required notifications, and follow-up.
  • Coordinate HR projects by maintaining task lists, owners, deadlines, and progress updates.
  • Work with Recruiting, Payroll, Benefits, IT, and managers to complete assigned activities.
  • Help document procedures and improve consistency across HR processes.
  • Keep the HR Director informed of progress, obstacles, and items requiring a decision.
  • Support additional HR priorities as assigned.

Qualifications

  • Three to five years of progressive HR experience, including employee support, routine employee relations, and HR administration.
  • Experience coordinating performance reviews, training, employee documentation, and HR projects.
  • Working knowledge of employment practices and the judgment to recognize matters requiring escalation.
  • Hands-on experience using an HR information system; ADP Workforce Now strongly preferred.
  • Strong Excel skills, including sorting, filtering, formulas, and maintaining accurate trackers; pivot table experience preferred.
  • Proficiency in Microsoft Word, Outlook, and Teams.
  • Ability to prepare clear reports, verify data accuracy, and recognize recurring issues.
  • Strong organization, written communication, and attention to detail.
  • Ability to manage competing priorities, follow up professionally with managers, and complete work without repeated reminders.
  • Sound judgment, discretion, and a practical approach to solving problems.
  • Bachelor’s degree in Human Resources, Business, or a related field, or equivalent relevant experience.
  • SHRM-CP or PHR certification desired but not required

Success in This Role Success means employees receive clear guidance and timely support; performance reviews, training, and employee documentation are completed; ADP records are accurate; and HR projects and development commitments receive consistent follow-up.
