What they need
Position Overview
The HR Operations and Project Coordinator expands ELIQUENT’s HR operational coverage across European time zones and supports global delivery. The role owns routine regional European HR administration and serves as the project coordination hub for global HR initiatives. It combines hands-on employee lifecycle delivery, local compliance coordination, records and data administration, and disciplined project management. The role is part ELIQUENT’S US based HR Operations team and partners closely with HR Business Partners, Total Rewards, Payroll, Talent Acquisition, and regional leaders.
European HR Operations
- Own routine employee lifecycle administration for supported European populations, including preboarding, onboarding, orientation, employee changes, offboarding, records, and HRIS updates.
- Coordinate regional leave administration, required documentation, payroll and benefits notifications, and follow-up with employees, managers, vendors, and HR partners.
- Coordinate European benefits administration activities with the Total Rewards team and local providers.
- Maintain accurate regional employee files, data entry, status changes, document retention, approvals, and audit evidence.
- Coordinate background checks, employment documents, and regional onboarding requirements.
- Monitor assigned local compliance calendars and requirements; coordinate timely activities, evidence, and escalation. This role coordinates compliance and does not independently provide legal advice.
- Provide first-line support for routine employee and manager questions across supported geographies and route strategic, complex, or sensitive matters to the appropriate HR Business Partner or HR leader.
- Deliver or coordinate European new-hire orientation and support culture, engagement, development, and employee experience activities.
Global HR Project Coordination
- Coordinate global HR projects from initiation through transition to business-as-usual ownership, using agreed scope, milestones, action logs, risk and issue logs, decision tracking, and status reporting.
- Maintain the HR project portfolio and provide clear updates on progress, dependencies, owners, risks, decisions, and overdue actions.
- Organize project meetings, agendas, materials, minutes, and follow-ups; ensure decisions and actions are documented and closed.
- Create and maintain project plans, process maps, SOPs, RACI matrices, implementation checklists, training materials, and change-readiness documentation.
- Coordinate user acceptance testing, data validation, stakeholder communications, training, launch support, and post-implementation reviews for HR systems, AI enablement, workflow, compliance, integration, and expansion initiatives.
- Support transaction-readiness, M&A integration, geographic expansion, payroll/HR operational alignment, and other enterprise priorities assigned by HR leadership.
- Identify process gaps and recommend practical improvements, automation, and approved AI-enabled solutions while ensuring human review and appropriate controls.
- Ensure completed projects have a named operational owner, documented controls, and a sustainable support model.
Collaboration with Key Stakeholders
- Partner with HR Business Partners on local implementation and employee support; HRBPs retain strategic workforce planning, talent development, succession, organizational design, and complex employee-relations advisory responsibilities.
- Partner with the Senior HR Operations Specialist on standards, compliance, HRIS/data governance, and escalation management.
- Partner with the Senior HR Coordinator on global consistency, coverage, documentation, and backup support.
- Partner with Payroll and Total Rewards on regional inputs, deadlines, benefits, compensation, and employee communications.
- Partner with regional leaders on employee lifecycle support
Measures of Success
- Timely and accurate European administration; reliable regional data and compliance tracking; high-quality employee support; on-time project milestones; visible risk and action management; and successful transition of projects into sustainable operations.
Qualifications & Experience
- Bachelor’s degree or equivalent experience in Human Resources, Business Administration, Project Management, or a related field.
- 5+ years of HR operations experience, with meaningful exposure to European employee administration and global or multi-country environments.
- Experience supporting UK, Ireland, Serbia, or broader EMEA populations.
- Demonstrated project coordination experience, including plans, milestones, action tracking, risk logs, stakeholder updates, and implementation support.
- Working knowledge of GDPR and employment-practice considerations in one or more European countries; ability to coordinate local advice where required.
- Experience with HR systems, employee records, data integrity, and Microsoft 365 collaboration tools.
- Strong written and verbal English communication, organization, judgment, and ability to work independently across time zones.
- Ability to distinguish routine operational support from matters requiring HRBP, legal, payroll, or leadership escalation.
- Project-management qualification or practical experience with Agile, waterfall, or hybrid delivery methods.
- Exposure to HR technology implementation, workflow automation, AI enablement, M&A integration, or transaction-readiness projects.
- CIPD, SHRM, PHR, PMI/CAPM, or equivalent credentials.
