HVAC Customer Service Representative / Dispatcher

Premier Heating and AC is a growing HVAC company serving Central Vermont. We specialize in heating, cooling, and heat pump installations and service, and we're looking for a Customer Service Representative / Dispatcher to join our team.

This is a key position within our company. You will be responsible for keeping our service department organized, communicating with customers, supporting our technicians, and helping make sure the day-to-day operation runs smoothly.

What You'll Do

• Answer incoming customer phone calls and respond to emails
• Schedule service calls, maintenance appointments, and estimates
• Dispatch technicians and manage the daily service schedule
• Communicate with technicians throughout the day
• Keep customers informed about appointment times and technician arrivals
• Follow up with customers after service calls
• Handle end-of-day billing and make sure invoices are accurate
• Follow up on outstanding invoices and customer questions
• Schedule follow-up work and help move open jobs toward completion
• Maintain accurate customer and job information in Housecall Pro
• Help identify opportunities for maintenance, repairs, and system replacements
• Provide an excellent customer experience from the initial phone call through completion of the job
• Help keep the service department organized and productive

HVAC, plumbing, construction, dispatching, customer service, or office experience is preferred but not required. Experience with Housecall Pro or other field-service software is a plus.

This Is More Than a Receptionist Position

The person in this role will play a major part in the success of our service department. You'll be working directly with technicians and customers every day and will have a real impact on how efficiently our company operates.

We're looking for someone who doesn't need to be told what to do every five minutes—someone who sees a problem, takes ownership, and gets it handled.
