HVAC Customer Support Coordinator

Job Summary:
Help us grow as a friendly, dependable Customer Support Coordinator on our residential heating and air conditioning team. You’ll take inbound customer calls, act as our backup call center, and become the main call center whenever staff are away. You’ll also look after warranty, permit, and rebate paperwork and keep follow-ups on track. We’re keen to hear from you if you have excellent spoken English, sound judgment, and a warm, professional phone manner.

Key Responsibilities:

• Take inbound customer calls with professionalism and courtesy
• Serve as the backup call center, and as the main call center when staff are absent
• Handle warranty claims and warranty registrations, mainly through email and website submissions
• Prepare and file building permit applications
• Complete and file rebate applications on customers’ behalf
• Follow up with customers, manufacturers, and local offices until each request is resolved
• Record calls, jobs, and customer details accurately in Housecall Pro
• Take care of general administrative tasks as needed
• Use good judgment to direct urgent or complex situations to the right team member

Mandatory Skills:

• Excellent spoken English with a clear, friendly phone presence
• Previous experience in customer service, call handling, or administrative support
• Experience with Housecall Pro, or the ability to learn it quickly
• Comfortable submitting forms and applications by email and online
• Sound judgment and good problem-solving skills
• Trusted to work independently with care and accuracy
• Strong communication skills

Preferred Skills:

• Experience in the HVAC, plumbing, or another home services industry
• Familiarity with warranty claim, building permit, or rebate application processes
• Experience with other field service software or CRMs
• Able to manage a steady stream of tasks and follow-ups at once
