What they need

Position Overview

The Law Office of Raquel M. Kuronen is seeking an Immigration Case Resolution Coordinator to support the efficient management and resolution of immigration matters from initial intake through case completion.

This position will coordinate case documentation, client follow-up, filing deadlines, government correspondence, case-status tracking, and administrative next steps. The coordinator will serve as an important communication link between clients, attorneys, legal staff, and government agencies while helping ensure cases remain organized, current, and moving forward.

Key Responsibilities

Immigration Case Coordination

  • Monitor assigned immigration cases from intake through resolution or completion.
  • Maintain accurate case timelines, status updates, deadlines, and follow-up requirements.
  • Coordinate case tasks based on attorney direction and established office procedures.
  • Identify missing information, outstanding documents, and unresolved administrative issues.
  • Follow up on pending case items to help prevent unnecessary delays.
  • Escalate complex or time-sensitive matters to the appropriate attorney or senior legal staff.

Document & Filing Support

  • Collect, organize, and review client-provided documentation for completeness.
  • Maintain organized electronic and physical case files.
  • Assist with preparation of immigration forms, supporting documentation, filing packets, and correspondence under attorney supervision.
  • Track filing dates, receipt notices, requests for evidence, interview notices, and other case-related correspondence.
  • Ensure documents are properly labeled, stored, and associated with the correct client matter.
  • Assist with preparing responses to administrative requests as directed by attorneys.

Client Communication

  • Communicate professionally with clients regarding case status, outstanding documentation, appointments, deadlines, and administrative requirements.
  • Conduct routine follow-ups by phone, email, or other approved communication channels.
  • Help clients understand what information or documentation they need to provide to the office.
  • Document client communications and follow-up activities accurately.
  • Maintain a professional and empathetic approach when assisting clients with sensitive immigration matters.
  • Escalate legal questions to attorneys rather than providing independent legal advice.

Case Resolution & Follow-Up

  • Maintain follow-up lists for pending immigration matters.
  • Monitor cases for unresolved administrative issues and outstanding actions.
  • Coordinate client responses to requests for additional documentation.
  • Track government notices and correspondence requiring office attention.
  • Assist attorneys and legal staff in preparing cases for interviews, filings, hearings, or other scheduled events.
  • Help ensure completed matters are properly documented and closed according to office procedures.

Government & External Coordination

  • Assist with administrative communications involving USCIS, Department of State, immigration courts, or other applicable agencies under attorney direction.
  • Track receipt notices, case numbers, appointments, requests, and other official communications.
  • Maintain accurate records of agency correspondence and case-status information.
  • Coordinate with interpreters, translators, experts, or other third parties when requested.

Case Management & Administration

  • Maintain accurate information in the firm's case-management system.
  • Update client contact information and case milestones.
  • Prepare case status reports and administrative tracking summaries.
  • Monitor workload and prioritize matters based on deadlines and attorney instructions.
  • Maintain strict confidentiality of client, legal, financial, and immigration information.
  • Assist with improving internal case-management and follow-up processes.

Qualifications

Required

  • High school diploma or equivalent.
  • 2+ years of experience in legal administration, case management, immigration services, client coordination, or a related field.

  • Ability to manage multiple cases, deadlines, and client requests simultaneously.
  • Professional judgment and discretion when handling confidential information.
  • Comfortable using case-management systems, Microsoft Office/Google Workspace, email, and electronic document platforms.

Preferred

  • Familiarity with USCIS processes and common immigration case documentation.
  • Experience tracking Requests for Evidence (RFEs), Notices of Intent, receipt notices, interview notices, or other government correspondence.
  • Familiarity with USCIS online systems and case-status tools.
