Job Description
We are a growing international freight forwarding and supply chain solutions company based in the Greater Toronto Area. We are currently seeking a motivated, detail-oriented, and experienced Import and Export Operations Coordinator to join our operations team.
In this role, you will be responsible for coordinating end-to-end international freight movements, handling export/import documentation, working directly with customs brokers, and managing local carrier dispatches to ensure seamless cargo delivery.
Key Responsibilities:
- Shipment Coordination: Manage full-cycle sea freight (FCL/LCL), air freight, and transborder road transport operations from origin booking to destination delivery.
- Documentation & Filing: Prepare, audit, and issue critical shipping documents including Bills of Lading (B/L), Arrival Notices, Delivery Orders (D/O), Commercial Invoices, and Packing Lists.
- Customs Compliance: Facilitate CBSA procedures, submit ACI eManifest filings accurately, and coordinate with customs brokers for prompt freight clearance.
- Carrier & Drayage Dispatch: Liaise with ocean lines, airlines, rail ramps, drayage carriers, and cross-dock facilities. Schedule container pick-ups/returns to avoid demurrage, detention, and terminal storage charges.
- Fulfillment & Warehousing Support: Coordinate Amazon FBA warehouse appointments, cross-dock transfers, pallet distribution, and final-mile deliveries across Canada and the US.
- Exception Management: Monitor shipments proactively, troubleshoot transit delays, cargo discrepancies, customs holds, or damages, and provide timely updates to clients and overseas agents.
- Financial Billing: Audit carrier/vendor invoices (terminal, drayage, ocean), ensure rate accuracy, and submit operational files for AP/AR billing closing.
Qualifications & Requirements:
- Experience: 1–3+ years of direct operational experience in freight forwarding, ocean/air import-export, or 3PL logistics within Canada.
- Customs Knowledge: Familiarity with Canadian customs clearance requirements (CBSA, ACI, PARS/PAPS) and Incoterms 2020.
- Language Skills: Professional working proficiency in English (written and verbal). Fluency in Mandarin or Cantonese is strongly preferred to communicate with overseas offices, partners, and clients.
- Technical Skills: Proficient with MS Office (particularly Excel and Outlook). Hands-on experience with freight management software (such as CargoWise, EDI, or similar ERP/TMS systems) is a definite asset.
- Personal Attributes: Strong organizational skills, attention to detail, ability to prioritize tasks in a fast-paced environment, and dependable problem-solving mindset.
- Legal Status: Legally eligible to work in Canada
