Job Description: Import & Logistics Coordinator

Position Summary

We are seeking an experienced Import & Logistics Coordinator to manage end-to-end supply chain, international freight, and local logistics operations for our growing OFC, Data Center (DC) & Connectivity business.

This role manages cross-border shipments originating from both internal STL facilities and external third-party vendors/OEMs. The ideal candidate will oversee customs clearance, local inward inventory GRN, back-to-back customer site deliveries, freight bill audits, and outbound customer billing triggers to ensure high operational efficiency and margin protection.

Key Responsibilities

  1. Multi-Channel Import & Customs Clearance
  • Manage import documentation (Commercial Invoices, Packing Lists, Bills of Lading / Air Waybills, Certificates of Origin, Import Licenses).
  • Coordinate shipments from both internal STL manufacturing plants/hubs and external vendors/OEMs, ensuring compliance with inter-company transfer rules and external supplier requirements.
  • Oversee customs brokers, freight forwarders, and regulatory bodies to secure timely customs clearance and prevent port demurrage/detention charges.
  • Ensure full compliance with local customs tariffs, HS code classifications, and telecom regulatory approvals (e.g., equipment type approvals).
  1. Trading Operations: Inward Intake & End-Customer Billing-
  • Commercial Bridge: Act as the primary operational liaison between Sales, Supply Chain, Finance, and end customers—providing proactive, real-time shipment tracking and delivery schedules.
  • Inward Receiving (GRN): Inspect and perform system intake (ERP inbound Goods Receipt Note) for all imported hardware, ensuring batch serial numbers, quantities, and landed costs match POs exactly.
  • Customer Site Delivery: Oversee direct drop-shipments or staging from warehouses to end-customer warehouse /site /Data Center sites, securing validated Proof of Delivery (POD).
  • Billing Handoff: Partner with Finance to immediately trigger customer invoicing upon POD validation, minimizing the lag between supplier liability and outbound revenue generation.
  1. Freight Bill Audit & Financial Control
  • 3-Way Matching: Perform 3-way matching (Invoice vs. Receiving Documentation/POD vs. Purchase Order) on all freight, duty, and clearance invoices against contracted vendor rate sheets.
  • Discrepancy Resolution: Identify and resolve freight charge variances, unapproved accessorial fees, detention penalties, or double-billing with forwarders prior to payment sign-off.
  • Cost Allocation & Accruals: Assign freight expenses accurately to specific DC project codes and assist Finance with monthly freight accruals.

Key Performance Indicators (KPIs)

  • On-Time In-Full (OTIF): Delivery rate for critical equipment against project timelines.
  • Compliance Rate: Zero regulatory violations, fines, or customs delays.
  • Demurrage & Detention Cost: Minimization of extra port and storage fees.
  • Cost Efficiency: Optimization of freight and clearance expenditure.

Required Qualifications & Experience

  • Education: Bachelor’s degree in Supply Chain Management, Logistics, International Trade, Business Administration, or a related field.
  • Experience: 3 to 5 years of hands-on experience in import/export logistics, customs clearance, and freight forwarding
  • Regulatory Knowledge: Deep understanding of local customs procedures, import taxes/tariffs, Incoterms (2020), and telecom equipment licensing/certifications.
  • Software Skills: Proficiency with SAP, Microsoft word, Excel and customs/logistics tracking portals.
  • Language & Communication: Strong written and verbal communication skills; ability to negotiate effectively with vendors and communicate clearly with internal leadership
