Import Assistant

About the role

We are seeking a dedicated Import Assistant to join MKS Workforce Management Services Inc in Mandaluyong City, Metro Manila. This is a full-time position that plays a crucial role in supporting our import operations and ensuring the smooth flow of goods through customs and logistics channels. As an Import Assistant, you will be instrumental in managing documentation, coordinating with customs authorities, and facilitating the timely clearance of imported merchandise. This position is essential to maintaining our operational efficiency and compliance with all regulatory requirements.

Key responsibilities

• Prepare and process import documentation including bills of lading, commercial invoices, packing lists, and certificates of origin
• Liaise with customs brokers, freight forwarders, and shipping companies to ensure timely clearance of imported goods
• Monitor shipment status and track incoming goods from origin to final destination
• Coordinate with suppliers and logistics partners to resolve shipping discrepancies and delays
• Maintain accurate records of all import transactions and maintain filing systems for easy retrieval
• Verify that all import documentation complies with customs regulations and company policies
• Assist in calculating import duties, taxes, and other charges associated with incoming shipments
• Support the import team in resolving any customs issues or penalties
• Communicate with internal departments regarding the status of import shipments
• Assist in data entry and updating import management systems and databases

What we're looking for

• High school diploma or equivalent; additional certification in customs or import/export procedures is preferred
• Proven experience working in import, customs, or logistics operations, preferably in a similar role
• Strong knowledge of import procedures, customs regulations, and documentation requirements in the Philippines
• Proficiency with import management systems and Microsoft Office applications (Excel, Word, Outlook)
• Excellent organisational and time management skills with the ability to handle multiple shipments simultaneously
• Attention to detail and accuracy in processing documentation
• Strong communication and interpersonal skills to work effectively with internal teams and external partners
• Ability to work independently and as part of a team in a fast-paced environment
• Familiarity with ASEAN trade regulations and international shipping practices is advantageous
• Proficiency in English and Filipino languages, with additional languages being a plus
