Import Assistant

Job Summary:

Support the Import Department's daily operations to ensure imports and overseas purchase orders run smoothly, accurately, and on schedule.

Key Responsibilities:

• Review/prepare import documents (Invoice, Packing List, COO, Permit)
• Organize, store, and file documents systematically (softcopy & hardcopy)
• Record and track all shipping-related costs (freight, customs clearance, handling fees, etc.)
• Track shipment status with forwarders daily (ETD, ETA, Customs Status)
• Update the tracking sheet and notify the warehouse of expected arrival dates
• Help coordinate delivery to the warehouse
• Report issues/delays to the Head of Department immediately
• Prepare and issue purchase order (PO) documents as instructed
• Provide administrative support and coordinate work schedules for the Head of Department.

Requirements:

• 1–2 years of experience in import or logistics
• Detail-oriented, meticulous, and able to manage multiple tasks at once
• Able to use English (Priority Chinese speaking)
• Proficient in Microsoft Excel and PowerPoint for reporting
• High Responsible and able to work well in a team
