Import Export Coordinator

Key Responsibilities

• Manage day-to-day coordination of air and ocean freight shipments from booking through final delivery.
• Respond to customer enquiries and provide suitable freight options based on cost, transit time, shipment type, and delivery requirements.
• Prepare freight quotations and explain shipping arrangements, documentation requirements, and relevant trade terms.
• Liaise with carriers, overseas partners, transporters, warehouses, and customers to ensure shipments move smoothly.
• Prepare, check, and maintain import/export shipping documents and shipment records.
• Monitor shipment progress and keep customers updated on schedules, delays, and delivery status.
• Handle operational exceptions such as customs clearance issues, shipment delays, cargo discrepancies, or capacity constraints.
• Coordinate alternative arrangements when shipment plans are disrupted.
• Support cargo claim cases involving loss, shortage, or damage.
• Ensure freight charges, billing information, and supplier invoices are checked accurately before processing.
• Maintain good communication with internal teams and external partners to ensure timely shipment completion.

Requirements

• Minimum 1–3 years of experience in freight forwarding, logistics, or import/export operations.

• Hands-on knowledge of both air freight and ocean freight processes.

• Familiar with Malaysian customs procedures, shipping documentation, and general import/export requirements.

• Understanding of Incoterms and common freight arrangements such as FCL and LCL will be an advantage.

• Comfortable working with logistics systems, email, spreadsheets, and general office applications.

• Able to manage multiple shipments and priorities in a fast-moving environment will be an advantage.

• Strong coordination, follow-up, and problem-solving skills.

• Exposure to LMW, FIZ, FCZ, customs declaration, or local pickup and delivery coordination will be an advantage.
