What they need

The Import Logistics Coordinator manages all international inbound shipments end to end under the direction of the Logistics Manager, from the moment cargo is ready at the overseas supplier until it is received at the HHVI Warehouse. The role coordinates suppliers, freight forwarders, carriers, customs brokers, and truckers; checks shipping and customs documents; tracks every shipment in transit; and makes sure goods are cleared and delivered on time, at the right cost, and in compliance with Philippine Customs and other government regulations.

KEY RESPONSIBILITIES

1. Cargo Readiness and Pre-Shipment

  • Follow up with overseas suppliers on production status, cargo readiness dates, and packing details against open purchase orders.
  • Confirm Incoterms, pick-up or delivery points, and shipping instructions with suppliers and forwarders before cargo moves.
  • Get draft shipping documents (Commercial Invoice, Packing List, draft B/L or AWB, Certificate of Origin) from suppliers before departure and check them for accuracy.
  • Make sure any required import permits, licenses, or clearances from regulatory agencies are secured before shipment, where applicable.

2. Booking and Freight Coordination

  • Request and compare freight quotations (sea FCL/LCL, air, courier) and recommend the best option to the Logistics Manager based on cost, transit time, and urgency.
  • Arrange cargo bookings with freight forwarders, shipping lines, and airlines, and confirm vessel or flight schedules.
  • Coordinate cargo insurance when required.

3. In-Transit Tracking and Communication

  • Track all shipments from departure to arrival and keep the shipment tracker up to date (ETD, ETA, transshipment, arrival, release, delivery).
  • Obtain pre-alerts and final shipping documents from forwarders and suppliers on time.
  • Flag delays, rollovers, schedule changes, and other exceptions to the Logistics Manager right away, together with possible solutions.
  • Give regular shipment updates to the Product, Marketing, Finance, and Warehouse teams so they can plan inventory, launches, and receiving.

4. Documentation and Customs Compliance

  • Review and verify import documents, including Commercial Invoice, Packing List, Bill of Lading (B/L), Air Waybill (AWB), Certificates of Origin (Form E, Form D, RCEP, etc.), and other supporting documents for completeness and consistency.
  • Work with the customs broker on the preparation and lodgement of import entries, including HS code classification and the computation of duties and taxes.
  • Make sure valid Certificates of Origin are obtained and submitted to claim preferential tariff rates where eligible.
  • Resolve documentation discrepancies, customs holds, or examination issues with the broker, supplier, and forwarder.
  • Ensure all transactions comply with the Customs Modernization and Tariff Act (CMTA), Bureau of Customs (BOC) regulations, and company policies.

5. Clearance, Delivery, and Warehouse Receiving

  • Coordinate cargo release, payment of duties and port charges, and trucking from port or airport to the HHVI Warehouse.
  • Schedule deliveries with the Warehouse team and confirm the receiving date, time, and unloading requirements.
  • Monitor container free time and storage periods to avoid demurrage, detention, and storage charges, and arrange the timely return of empty containers.
  • Check that quantities received match shipping documents, and report shortages, overages, or damage.
  • Prepare and follow up on claims with suppliers, carriers, or insurers for damaged, short-shipped, or lost cargo.

6. Cost Control, Records, and Reporting

  • Check freight, brokerage, trucking, and port charges against agreed quotations before forwarding invoices to Finance for payment.
  • Help compute landed cost per shipment and support logistics cost analysis and savings initiatives.
  • Keep complete, organized records of all import transactions, documents, and correspondence for audit and post-clearance review.
  • Prepare the weekly shipment status report and other operational reports required by the Logistics Manager or Management.
  • Suggest improvements to inbound logistics processes, templates, and supplier or service-provider performance.
  • Perform other related duties assigned by the Logistics Manager, Internal Operations Head, or Management.
