Import Purchasing Assistant

Key Responsibilities

• Sourcing & Procurement:

  • Identify, evaluate, and select reliable local and overseas suppliers.
  • Send Purchase Orders (POs) and negotiate pricing, payment terms, and delivery schedules.

• Import & Freight Management:

  • Coordinate with international suppliers, freight forwarders, shipping lines, and customs brokers.
  • Track shipments, monitor estimated times of arrival (ETAs), and resolve transit or port delays.
  • Compute landed costs and plan shipment consolidations to optimize freight expenses.

• Customs & Regulatory Compliance:

  • Prepare and verify import documents (Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin, and customs entries).
  • Ensure compliance with Bureau of Customs (BOC) rules and specialized agency permits (such as FDA, DTI, or import licenses where applicable).

• Inventory & Stakeholder Coordination:

  • Monitor stock levels to prevent overstocking or stockouts.
  • Coordinate closely with Warehouse, Sales, and Finance departments regarding deliveries and payables.
  • Maintain accurate procurement records in Excel or enterprise systems like SAP or Navision.
