Key Responsibilities

  • Coordinate daily import and export shipments by air, ocean, parcel, and truck, including inbound supplier shipments, customer exports, returns, replacement parts, and intercompany movements.
  • Review commercial invoices, packing lists, purchase orders, bills of lading, air waybills, arrival notices, and certificates of origin for completeness, consistency, and accuracy before shipment or customs entry.
  • Validate product descriptions, quantities, values, country of origin, Incoterms, part numbers, weights, and ship-to information against Rockford purchase orders, sales orders, and shipping instructions.
  • Prepare export documentation for Rockford audio products, components, accessories, and service parts, including commercial invoices, packing lists, shipper instructions, and certificates required by the destination or customer.
  • Prepare and submit, or coordinate submission of, Electronic Export Information through AES when required; retain Internal Transaction Numbers and supporting records with the shipment file.
  • Apply approved HTS classifications for imports and Schedule B classifications for exports. Research discrepancies and route new, unclear, or changed products for classification review before filing.
  • Provide customs brokers with complete entry documents, product details, country-of-origin information, tariff classifications, and other supporting data needed for timely customs clearance.
  • Coordinate Importer Security Filing data with suppliers, freight forwarders, and customs brokers; review filing confirmations and escalate missing, late, rejected, or inconsistent data before vessel departure when possible.
  • Monitor customs entries and broker communications for holds, document requests, manifest or bill mismatches, value or classification questions, and other clearance exceptions; coordinate timely corrections and responses.
  • Review customs entry documentation for accuracy, including entered value, country of origin, HTS number, duty rate, Chapter 99 treatment when applicable, fees, and shipment identifiers; report discrepancies for correction.
  • Track international shipments from booking through final delivery, monitor key milestones, and provide proactive updates on delays, rolled bookings, customs holds, port or terminal issues, delivery appointments, and other exceptions.
  • Coordinate with freight forwarders, ocean carriers, airlines, parcel carriers, drayage providers, customs brokers, and 3PL warehouses to resolve missing documents, shipment delays, delivery issues, damage, shortages, and billing discrepancies.
  • Maintain complete import and export files in accordance with Rockford recordkeeping requirements, including entry packets, ISF confirmations, invoices, packing lists, transportation documents, AES records, certificates, broker correspondence, and exception documentation.
  • Maintain product-level import/export data, including HTS and Schedule B codes, country of origin, product descriptions, and supporting classification records; identify incomplete or conflicting master data for correction.
  • Support CTPAT activities by maintaining assigned records, collecting supplier and logistics-provider security documentation, supporting questionnaires and assessments, and reporting identified supply-chain-security concerns.
  • Collect and organize documents for duty drawback, post-entry corrections, customs inquiries, audits, claims, and internal compliance reviews as directed.
  • Support export screening and restricted-party review using established Rockford procedures; escalate potential destination, end-user, end-use, or export-control concerns before shipment release.
  • Maintain shipment trackers, exception logs, document-control files, and recurring reports. Identify trends in documentation errors, clearance delays, supplier performance, and carrier exceptions.
  • Communicate clearly with internal stakeholders regarding shipment status, document requirements, customs issues, duty impacts, and actions needed to prevent delays or compliance risk.
  • Follow established standard operating procedures and internal controls; recommend practical improvements that increase accuracy, visibility, consistency, and on-time execution.
  • Provide experienced-level support and guidance to other clerical staff on routine import/export documentation, shipment tracking, recordkeeping, and exception-handling practices.
  • Perform other related import/export, logistics, and compliance-support duties as assigned.

Role Expectations

  • Complete transactions accurately and on time while independently managing a high volume of shipment details and competing priorities.
  • Recognize documentation, customs, routing, or compliance exceptions; investigate the facts, take action within established procedures, and escalate issues requiring management or compliance decisions.
  • Maintain organized, audit-ready records and protect confidential supplier, customer, product, pricing, and shipment information.
  • Communicate with a no-surprises mindset, especially when a shipment delay, customs issue, missing document, or cost exposure may affect inventory availability or customer commitments.
  • Use sound judgment, attention to detail, and consistent follow-through when working with international suppliers and logistics service providers.
  • Use AI and automation tools in accordance with company requirements, and verify all output for accuracy, confidentiality, data integrity, and regulatory compliance before business use.

Required Qualifications

  • High school diploma or equivalent required; associate degree or additional coursework in international trade, logistics, supply chain, or business preferred.
  • Four or more years of progressive experience in import/export administration, customs documentation, international transportation, customs brokerage support, or a related logistics function.
  • Working knowledge of import and export documentation, customs clearance processes, HTS and Schedule B classifications, country-of-origin data, Incoterms, ISF, and AES filing requirements.
  • Experience coordinating international shipments with customs brokers, freight forwarders, carriers, suppliers, and warehouse or 3PL partners.
  • Intermediate to advanced Microsoft 365 skills, particularly Excel, Outlook, and Word; ability to maintain accurate trackers, reports, and document files.
  • Strong attention to detail, organization, follow-through, problem-solving, and written and verbal communication skills.
  • Ability to work independently within established procedures, prioritize time-sensitive transactions, and escalate risks appropriately in a fast-paced distribution environment.
  • Ability to work on-site in Tempe, Arizona.

Preferred Qualifications

  • Experience with Oracle or another ERP system and with transportation, warehouse, broker, or global trade management platforms.
  • Experience supporting consumer electronics, automotive aftermarket products, audio equipment, components, or similar imported merchandise.
  • Experience reviewing customs entry packets, monitoring Section 301 or other Chapter 99 duties, supporting duty drawback, or assembling documentation for customs inquiries and post-entry activity.
  • Familiarity with CTPAT recordkeeping and supply-chain-security requirements.
