Inbound Customer Service Representative

Job Summary:
We’re after a friendly, confident Inbound Call Receptionist to be the first voice our customers hear when they call. Our home services business receives a steady flow of inbound calls every day, and we need someone who answers promptly, understands what each caller needs, and turns inquiries into booked service appointments. You’ll excel if you have excellent spoken English, a warm and professional phone manner, and the reliability to be there for every call.

Key Responsibilities:

• Answer all inbound calls promptly and professionally so no customer inquiry goes unanswered
• Identify each caller’s service needs and record accurate customer details (name, address, contact information, and issue)
• Turn inquiries into confirmed bookings by guiding callers toward scheduling a service appointment
• Schedule, reschedule, and confirm appointments in our in-house CRM and calendar system
• Enter and update customer records accurately after every call
• Answer common questions about our services and explain next steps clearly
• Return missed calls and follow up on voicemails quickly to capture every lead
• Escalate urgent or complex requests to the team when needed

Mandatory Skills:

• Excellent spoken and written English with clear, easy-to-understand pronunciation
• Proven experience in inbound calls, customer service, receptionist, or appointment setting roles
• Confident phone manner and the ability to build rapport quickly and guide callers to book
• Comfortable handling a steady daily volume of inbound calls
• Fast, accurate data entry and the ability to learn new CRM and scheduling software quickly
• Highly punctual with an excellent attendance record
• Responsible, focused, and independent
• Strong communication and active listening skills

Preferred Skills:

• Sales or closing experience, especially turning inbound leads into booked appointments
• Experience in home services customer support or booking (e.g., pest control, cleaning, HVAC, plumbing)
• Experience handling calls with US or Canadian customers
• Familiarity with field service or CRM tools such as Jobber, Housecall Pro, ServiceTitan, or similar
• Experience using VoIP or softphone systems
• Ability to stay calm and helpful with stressed or urgent callers
