Innovation Project Coordinator Consultant

Our client is a global hospitality brand in the middle of a major product rollout across hundreds of locations and they need someone who understands the pace, complexity, and people that come with it.

About the Role

The Innovation Program Coordinator helps the Hotel Performance Hub team bring AI and technology initiatives to life. You will turn project direction and early ideas into clear materials, communications, and experiences that help corporate teams and hotels understand what these projects and tools are, why they matter, how they are progressing, and what to do next.

A large part of the role is preparing people for change and supporting hotels as they onboard to new tools. You will work directly with a small team of two analysts, a director, and a vice president.

They provide context and direction. You own day to day coordination and the materials that come out of it.

This is a strong fit if you write clearly, move work forward on your own, and like getting your hands on new technology early. Priorities shift as projects evolve, so you should be comfortable asking questions when direction is unclear and following through once it is set.

What You’ll Do

Communicate with and prepare stakeholders

• Draft and coordinate communications that explain project goals, changes, progress, timelines, and next steps.
• Help corporate teams and hotel stakeholders understand how a project or tool affects them and how they can take part.
• Tailor messages and materials for different audiences, levels, and regions.
• Answer stakeholder questions by finding answers, connecting people with the right resources, and following up.
• Keep project content and communications current as plans change.

Support hotel onboarding and adoption

• Coordinate hotel onboarding to new tools, including confirming participating hotels and key contacts.
• Prepare onboarding communications covering expectations, timelines, resources, and next steps.
• Organize training and Q&A sessions across regions and time zones. This includes occasional early or late calls to support Asia Pacific.
• Deliver or support live training and give extra guidance to hotels that need it.
• Track hotel questions, participation, and onboarding progress, and connect hotels with the right support.
• Gather feedback and lessons learned to improve future rollouts.

Turn project vision into clear materials

• Work with the team to understand the purpose, direction, and audience for each AI and technology project.
• Turn project concepts and updates into polished, easy to understand materials for corporate and hotel stakeholders.
• Prepare and edit presentations, emails, newsletters, FAQs, videos, and other communications in whatever format fits the message.
• Make complex or evolving information clear, relevant, and actionable.
• Update website templates and stakeholder facing content so it reflects the current state of projects. This is editing and maintaining content, not building websites.

Support the team’s evolving work

• Coordinate requests from the analysts, director, and vice president and move materials and communications forward.
• Stay organized across multiple projects and requests.
• Research AI tools, technology, and new approaches, and bring useful findings and ideas back to the team.
• Look for clearer, faster ways to create materials, communicate, and support adoption.

What You’ll Bring

• Writing and editing that makes complex or changing information easy to understand. This is the core of the job.
• Strong organization and follow through across multiple requests at once.
• Initiative and curiosity. You look for ways to move work forward, share ideas, and learn new tools on your own.
• The ability to listen, take feedback, and deliver on agreed priorities.
• Comfort communicating with audiences ranging from hotel staff to senior leadership.
• Real interest in AI and technology, and in helping people understand and adopt new tools.
• Hands on experience with AI tools such as ChatGPT and Microsoft Copilot, and the habit of researching solutions yourself.
• Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

Experience in communications, content development, training, stakeholder engagement, or onboarding is helpful but not required. We are open on years of experience, including early career candidates, as long as the writing and the organization are there.
