What they need
Job Title: Installation Coordinator
Location: Houston, Texas (77086)
Type: Full-time, Onsite, Manufacturing Facility
Hardman Signs is a national leader in architectural signage and graphics. We design, manufacture, install, and service high-impact signage solutions for commercial properties, multi-family housing, healthcare facilities, parking garages, and more. We partner with leading construction companies and architectural design firms to bring signage visions to life—from concept to installation.
Job Summary We are seeking a bilingual, proactive, high-urgency Installation Coordinator to serve as the real-time liaison between our field installer crews and the Sales team. This role ensures that any on-site challenges, delays, material needs, or client-facing issues are communicated instantly and professionally so that projects stay on track and client expectations are managed effectively. The ideal candidate thrives in a fast-paced environment, demonstrates extreme ownership and urgency, and is fully bilingual in English and Spanish.
Essential Duties and Responsibilities
- Act as the primary communication bridge between Lead Sign Installers / field crews and the Sales team (and, when appropriate, directly with customers).
- Receive real-time updates from field teams regarding installation challenges, delays, material shortages, site conditions, safety concerns, or scope changes.
- Relay critical information immediately to Sales, Project Management, and other internal stakeholders with clear, concise, and solution-oriented updates.
- Coordinate rapid responses to field needs (e.g., additional materials, equipment, technical support, or customer approvals).
- Document all field communications, issues, and resolutions in our project management system for transparency and accountability.
- Support Sales by providing accurate, real-time project status updates to customers when directed.
- Monitor multiple active installations simultaneously and proactively flag potential risks before they become major issues.
- Assist with scheduling adjustments, resource allocation, and follow-up on field-reported action items.
- Help maintain strong team morale by ensuring field crews feel supported and heard.
- Participate in daily/weekly coordination meetings between Installation, Sales, and Production.
Position requires flexibility to work beyond standard business hours and remain available to assist and communicate with field crews after hours and on weekends, as needed. This role serves as a key point of contact for real-time installation issues, and the successful candidate must be responsive to urgent field needs outside of normal business hours.
Education and Experience Required:
- High School Diploma or GED.
- Minimum 2 years of experience in construction, signage installation, project coordination, dispatching, or field support roles.
- Fully bilingual in English and Spanish (verbal and written).
- Demonstrated extreme sense of urgency and ability to handle multiple priorities under pressure.
Preferred:
- Experience in the signage or commercial construction industry.
- Familiarity with signage installation processes, materials, and common field challenges.
- Experience using project management tools (e.g., Fieldwire, JobNimbus, or similar) and Microsoft Office (especially Teams, Outlook, and Excel).
Knowledge, Skills, and Abilities
- Exceptional verbal and written communication skills — clear, professional, calm under pressure.
- Strong problem-solving and common-sense decision-making.
- High emotional intelligence and ability to translate technical field issues into business/client language.
- Extreme ownership and accountability; no task is too small.
- Ability to build trust quickly with both field crews and Sales team.
- Proficiency in technology (smartphone apps, photos/videos for documentation, real-time messaging).
Physical Requirements
- Primarily office-based with occasional site visits.
- Ability to remain stationary for prolonged periods while monitoring communications.
- Occasional ability to navigate active construction sites safely.
- Must have reliable transportation and a valid Driver’s License.
What We Offer
- Competitive Salary
- 401(k) with company match
- Paid Time Off (PTO)
- Medical, Dental, Vision Insurance
- Life and Disability Insurance
- Opportunity to play a pivotal role in a growing, high-performing installation team
